Part-Time Admin Manager & Coordinator (Freelance / Self-Employed)

Bristol / Remote Working
Part-Time Flexible Hours (Approx. 5–8 hours per week initially)
Term-Time Based + Some Holiday Admin
Work From Home
Start Date: September

Funk It Up Dance School is looking for an organised, proactive and friendly Admin Manager & Coordinator to support the day-to-day running and growth of our dance school.

This is a flexible freelance role ideal for someone who enjoys administration, communication, organisation, and being part of a creative, child-focused business. The role would particularly suit someone who is confident working independently, enjoys problem-solving, and can manage a variety of tasks calmly and efficiently.

About the Role

You will work closely with the School Principal to help coordinate classes, workshops, teachers, bookings, parent communication, and general administration.

The role involves a mixture of:

Parent and teacher communication
Booking coordination
Organisation and scheduling
Social media and marketing support
Website and record maintenance
Event and performance coordination support

This role is best suited to someone who has flexibility during parts of the school day and after-school hours, as occasional urgent situations may arise relating to classes, venue changes, teacher cover, or parent communication.

Core ResponsibilitiesAdministration & Communication

Daily monitoring and responding to emails
Managing parent and teacher communication
Coordinating bookings for classes, schools, workshops and events
Organising registers, attendance records and class lists
Maintaining calendars, schedules and term dates
Sending newsletters, reminders and renewal information

Organisation & Systems

Maintaining online filing systems (Google Drive)
Updating spreadsheets and administrative records
Tracking invoices, payments, income and expenses
Supporting safeguarding and teacher documentation records

Marketing & Social Media

Supporting social media updates and promotion
Assisting with marketing and outreach
Updating website information where required

Events & Performances

Supporting planning and coordination of shows, performances and workshops
Assisting with event communication and logistics

Skills & Qualities RequiredEssential

Excellent organisation and communication skills
Friendly, calm and professional manner
Good time management and ability to prioritise tasks
Ability to work independently and take initiative
Reliable and trustworthy
Confident using:
Gmail & Google Drive
Microsoft Word & Excel
WhatsApp communication groups

Desirable

Experience with dance schools, schools, childcare or creative businesses
Social media and marketing experience
Experience with CRM systems or databases
WordPress or website editing experience
Awareness of safeguarding and data protection

Equipment Required

Own laptop/computer
Own mobile phone with call/text capability
Reliable internet connection

Important Notes About the Role

Flexible working hours, but availability during some afternoons is highly beneficial
Some weeks may require more hours during performances, events or term renewals
School holiday periods are usually quieter except before new terms begin
This is a self-employed/freelance position
