UCEAP operates two Study Centers in the UK/Ireland region – one in London, England and one in Edinburgh, Scotland. The London Study Center supports academic programs serving approximately 650 students annually at 13 partner institutions across England. The Edinburgh Study Center supports academic programs serving approximately 600 students annually at 8 partner institutions in Scotland and Ireland.

Position:

Position Title: Program Assistant

Gross Annual Compensation Range: £31,700–35,000 including London Weighting (pro-rata)

Employment Type: Permanent; part time 17.5 hours/week

Working hours: Flexible within standard business hours (09:00–17:00), depending on operational needs.

The University of California Education Abroad Program (UCEAP) is seeking a part-time Program Assistant to support its London and Edinburgh Study Centers. Based in London, as an integral member of a small office, this role serves as a key point of contact for UC study abroad students, providing administrative support, student advising, program coordination, and assistance with orientations and events. The position primarily supports UCEAP's London programs, with seasonal support provided to the Edinburgh Study Center during peak periods in the fall and spring. This is an excellent opportunity for an organized, student-centered professional with strong communication skills and an interest in international education and intercultural engagement. Occasional evening and weekend hours may be required.

Requirements:

Required Qualifications:

Bachelor's Degree in related area and / or equivalent experience / training.
1-3 years of experience in higher education program administration or equivalent combination of training and work experience.
Professional English verbal and written communication skills, typically equivalent to CERF level B2 or higher. Skill in obtaining and conveying information clearly and with written accuracy.
Good interpersonal skills with proven ability to develop rapport and engage with students with sensitivity including appropriate referrals.
Personable, enthusiastic, and interested in international exchange programs.
Multicultural competencies; ability to work with diverse groups to achieve results.
Commitment to valuing diversity and creating an inclusive work environment.
Demonstrated ability to listen, learn and build trust among faculty, staff, students, and other constituents.
Previous customer service experience and knowledge of internal and external customer service principles and practices.
Basic knowledge of advising and counseling techniques.
Demonstrated initiative and proactive approach working with both independently and as part of a team and ability to adapt to changing priorities and meet competing deadlines.
Experience working in an office environment and working knowledge of basic administrative functions.
Knowledge of local higher education environments.
Skill in prioritizing numerous task to maintain organization and efficiency in completing work accurately and in a timely manner.
Good judgment and ability to use discretion, maintain data privacy, and maintain all security and confidentiality with sensitive and personally identification information (PII).
Working knowledge of MS Office or similar, cloud-based computing and collaboration platforms (MS Teams, SharePoint, etc.), virtual meeting platforms, including MS Teams and SharePoint or equivalent, familiarity with social media platforms, and a willingness to learn other applications and technologies, as needed.

Desirable:

Strong professional English verbal and written communication skills, typically equivalent to CERF level C1 or higher.
Higher education administration experience in the field of study abroad.
Experience studying, working, or living abroad.
Knowledge of the structure and organization of the U.S. higher education.
Experience planning events such as student orientations
Experience making appropriate referrals to support services, including health and counseling.
