ROLE: OFFICE ADMINISTRATOR

FULL TIME

Hours: 5 days a week, 09:30 – 17:30

WORK TYPE: OFFICE BASED

Place of work: This role is office based at Suite 5, Bank Chambers, 567 Fulham Road SW6 1ES

Line Manager: Mary Clements

Salary: £28,000 – £34,000 (depending on experience)

About Facing the World:

Facing the World (FTW) is a children’s medical Charitable Foundation providing life-changing craniofacial surgery to some of the world’s most disadvantaged and vulnerable children, with efforts being focused on Vietnam where the incidence of severe birth defects is estimated by some, to be ten times higher than in neighbouring countries. Facing the World works in partnership with Vietnamese institutions to develop medical skills and approached in regional centres.

FTW runs a year-round Fellowship programme for Vietnamese medical professionals to partake in observational training at leading institutions in the UK.

Facing the World also runs medical Missions to Vietnam every year. These are a mix of multidisciplinary and specialist surgical missions with a team of doctors from UK hospitals working with doctors from the charity’s partner hospitals in Vietnam. This works in conjunction with the Fellowship programme.

About the role:

We are looking for an Office Administrator with a positive, can-do attitude to join our small office, running the charity’s various projects and supporting the CEO and the board of Trustees who all volunteer their time to the charity. This is a hands-on role which would suit a confident communicator with meticulous attention to detail, the ability to work well under pressure, manage a varied workload and have a friendly and helpful approach.

Job Specification:

Key tasks

Administration of Fellowship programme

Fellowship enrolment

Obtaining documents required for Fellows

Making travel arrangements

Mentor scheduling/arranging schedules for Fellows

Ongoing communications with Fellows

Flat cleaning schedule

Prepare & deliver welcome packs

Obtain photos for Social Media

Additional general office administration

Formatting documents in Excel and Word (spreadsheets, mail merges)

Drafting and sending emails and managing diary using Outlook

Creating and sending electronic newsletters using Mailchimp

Detailed and complex outlook management – operating from a shared inbox

Drafting and sending emails and letters to Vietnamese doctors; government officials; UK and international donors, doctors and medical institutions

Administration for Missions to Vietnam

Website editing / Wording for Social Media daily posts

Saving invoices and liaising with external suppliers

Drafting Trustee meeting agenda and minutes

Ad hoc projects e.g. updating database of contacts, assisting with marketing materials

Filing, answering telephone, photocopying, etc.
