Salary: up to 23,812.50 per annum plus Veolia benefits

Hours: 30 hours per week, Mon - Fri 8am to 3pm

Location: Kingswood House, Cannock, Staffordshire, WS11 8JP

The Office Coordinator is responsible for the overall management and coordination of the Kingswood office, acting as a key liaison between the reception team, management, contractors, and on-site departments. This position requires a proactive, organised individual who can manage multiple priorities simultaneously while maintaining the highest standards of professionalism and customer service. The role encompasses people management, space management, operational oversight, customer relations, and sustainability initiatives.

What you'll be doing:

Manage and resolve office based queries on a daily basis
Lead and manage the reception team, providing direction, support, and development opportunities
Ensure all direct reports are well trained within their respective roles
Provide daily communication with the team and management via email and in-person interactions
Maintain regular communication with the Contract Manager, Cleaning Supervisor, and reception staff
Manage all office deliveries, parcels, and post, ensuring proper receipt, logging, and distribution
Conduct weekly and monthly planning for role responsibilities including stock ordering, audits, equipment checks, and compliance verification
Coordinate with the Cleaning Supervisor and facilities personnel to maintain a clean, safe, and professional workspace
Coordinate meeting room bookings and ensure spaces are properly prepared and maintained
Support the Contract Manager with reception cover and facilities management

What we're looking for:

Previous experience in an Office Manager, Office Coordinator, or Senior Admin role
A natural leader with excellent communication skills and the ability to motivate and develop your team
Skilled at data management and reporting with a problem-solving mindset
Demonstrated ability to manage multiple tasks, priorities, and deadlines simultaneously
Proficient with office software, scheduling tools, and ability to learn new systems quickly
Strong communication skills, ability to motivate a team and capable of interacting professionally with all levels of staff
