Full job description

About the role

We are seeking a highly organised, accurate and proactive Finance Officer to join our provision which includes an inclusive term-time nursery and Short Breaks (Friday evening Youth Club, Saturday sessions and holiday sessions). This is an important role supporting the smooth financial running of the setting, helping ensure that resources are managed effectively so that our children and young people receive the best possible support.

Working closely with the senior leadership team and business support, you will manage day-to-day finance processes, maintain clear records and support budget monitoring, purchasing and reporting. The successful candidate will bring excellent attention to detail, strong communication skills and a commitment to working in an inclusive environment.

Key responsibilities

· Manage and maintain the organisation’s financial systems, including the preparation of annual budgets and accounts, ensuring accuracy and compliance with required standards

· Collate monthly wages information and process payments (PAYE)

· Administer the organisation’s pension scheme

· Check invoices, process and code them for payment, and maintain accurate payment records. Ensure payments are made when due and with the appropriate authorisation

· Ensure all income due to the organisation is received promptly by rendering accounts, issuing receipts, recording and banking income, and credit control

· Undertake monthly reconciliation of accounts and bank statements

· Manage operation of petty cash and other accounts to ensure the correct maintenance and control of these systems

· Develop and maintain financial spreadsheets, income from snack and sundries money (nursery) and share when required

· Liaise regularly with the Treasurer, Senior Manager and Board of Trustees regarding all financial matters including the provision of financial reports to Board meetings

· Liaise with the appointed Independent Examiner to ensure end of year accounts are completed accurately and on time

· Provide guidance and assistance to colleagues in respect of the procedural aspects of finance systems

· Provide administrative cover during times of absence of business support

· Document all financial procedures

· Represent Shine (East Norfolk) in a professional capacity at events, conferences, etc., if required

Undertake any other duties as reasonably requested by the Senior Manager

About you

We are looking for someone who is dependable, approachable and confident working with financial information. You will be able to prioritise tasks, meet deadlines and communicate clearly with a range of colleagues and stakeholders.

You do not need to have worked in a specialist provision before, but you must be committed to supporting an inclusive environment where every individual is valued and respected.

Essential requirements

· AAT Level 3 qualification or equivalent.

· At least two years relevant experience of finance administration.

· Proven budget setting and payroll experience.

· Working knowledge of accounting systems and finance software.

· Strong numerical skills and a high level of accuracy.

· Ability to communicate confidently and effectively using the appropriate communication method to a variety of audiences.

· The ability to work as part of a team and on your own initiative.

· Excellent attention to detail in all aspects of work.

· Excellent problem-solving ability alongside strong organisational skills.

· Ability to prioritise and deal effectively with a busy workload.

· Confident use of Microsoft Office, particularly Excel.

· Clear written and verbal communication skills.

· A professional, flexible and positive approach.

· Commitment to safeguarding, equality, diversity and inclusion.

Desirable requirements

· Experience of finance administration in a school, early years establishment, charity or public sector setting.

· Knowledge of early years finance systems or local authority financial procedures.

· Understanding of the needs of pupils with special educational needs and disabilities.
