Job Title: Office Manager (Part-Time)

Location: Fully Remote (UK-based)
Hours: Monday to Friday, 9:00am – 1:30pm (22.5 hours per week)
Salary: £26,000 – £28,000 pro rata (dependant on experience)

About Civilistix

Civilistix is a growing, civil engineering consultancy specialising in drainage, highways and infrastructure design services throughout the UK. We work with developers, architects, planning consultants and homeowners, delivering practical engineering solutions with a strong focus on customer service.

The Role

We are a small, fully remote team looking for an organised, detail-oriented Office Manager. Working closely with the Director, you will support our engineers, maintain key administrative processes, oversee marketing activity, and help ensure the business runs efficiently.

This role would suit someone who works confidently on their own initiative, brings strong organisational skills and attention to detail, and has a proactive approach to their work.

As this is a fully remote role, you will need a suitable home-working environment, reliable internet access and the ability to communicate effectively with the team using online systems.

Key Responsibilities

Office & Business Administration

Support QMS document management and day to day administration duties
Answer incoming telephone calls and respond to general enquiries
Set up new projects within our CRM system and maintain accurate project records
Prepare monthly management reports and KPIs
Assist with ISO 9001 administration and audit preparation
General financial administration in Xero
Chasing outstanding invoices professionally and efficiently

Recruitment & HR

Assist with recruitment of new staff members
Coordinate the onboarding of new employees
Help organise staff meetings and remote team-building activities
Maintain employee records and HR documentation

Marketing

Manage and update the company website on WordPress
Create and schedule LinkedIn posts
Produce quarterly client newsletters
Assist with marketing campaigns and implementing the company marketing strategy

About You

You will be organised, proactive and comfortable managing several priorities at once. You will enjoy working in a small business environment where your contribution genuinely makes a difference.

Essential Skills & Experience

Minimum 3 years’ experience in an Office Manager, Office Administrator or Business Support role
Fully IT literate and forward-thinking
Excellent attention to detail
Highly organised with the ability to work independently and manage your own workload
Strong written and verbal communication skills in English, with the confidence to understand and work with technical information
Confident using Microsoft Office (Word, Excel and Outlook)
Experience using WordPress
Experience managing business social media, particularly LinkedIn
Experience with Xero or similar accounting software

Desirable

Experience with CRM systems
Marketing experience within a professional services environment
Experience supporting ISO 9001 quality management systems
Previous experience in a professional engineering, construction or consultancy business
