Private GP & ADHD Service Admin - Immediate availability required!

Join our team! We have a 6 month full-time fixed term admin position available, extendable by mutual agreement.

Well Life Clinic Oxted opened its doors in October 2024, followed by the opening of our Cobham branch on 1st May 2025 and most recently our St Alban's branch in August 2026. We have quickly built a reputation for excellence in patient care and service. We’re now seeking a dedicated, fixed-term admin team member local to Oxted and the surrounding areas to join us. The ideal candidate will have 2+ years admin experience in healthcare. You’ll bring professionalism, warmth, and efficiency to every interaction, ensuring each patient experience is personal, seamless, and truly five-star.

Your Role
As the first point of contact for patients accessing our services, you’ll set the tone for their entire experience. From speaking to patients with genuine warmth to coordinating treatments and managing bookings, you’ll play a vital role in supporting both our clinical and administrative teams.

Key Responsibilities

1. Patient Experience & Customer Service Excellence

Welcome every patient with professionalism, empathy and a positive approach.
Update records, and ensure all contact and communication preferences are captured accurately.
Support patients with accessibility needs to ensure an inclusive and comfortable visit.
Handle patient queries confidently, escalating where needed to the Clinic Manager ensuring resolution and satisfaction.

2. Data Privacy & Security

Uphold the highest standards of patient confidentiality and GDPR compliance.

3. Systems & Technology

Use digital tools and platforms to manage appointments and records.
Liaise with IT support for any system updates or troubleshooting.

4. Health & Safety

Report any maintenance or safety issues promptly to management.

5. ADHD Services

Seeing our patients through their ADHD assessment journey from start to finish; from data entry inputting referral details, to initial contact and appointment booking, to managing follow-ups, referrals and prescription admin.

What We Are Looking For

An intelligent, friendly, confident communicator with a genuine passion for delivering outstanding service. Must be able to make phone calls and respond/answer emails as needed.
Previous experience in an admin, front-of-house, or customer-facing role is a must. Healthcare experience desirable but not essential.
A proactive, positive attitude ready to go the extra mile for patients and colleagues alike. The ability to work alone or within the team is imperative to your success.
Highly organised with excellent attention to detail with the ability to find solutions to challenges as they arise.
Strong IT literacy - confident using Microsoft Office and online booking systems.
