Full job description

The Health Records Clerk provides an essential support service to ensure patient records are available in the right place at the right time to support ongoing patient care.

The role involves working across all areas of the Health Records service, including retrieval, filing, preparation, amalgamation, pruning, secure destruction, transportation and delivery of patient records. The post holder will also provide a professional and efficient reception service within outpatient areas, ensuring patients and visitors are welcomed appropriately and that patient records are accurately tracked at all times.

We currently have two part-time Health Records Clerk vacancies within the East area:

22.5 hours per week at Catherine Gladstone House, Flintshire

15 hours per week at Wrexham Child Health Centre

Applicants may indicate their preferred base location within their application. Preferences will be discussed at interview; however, the final allocation of posts will be based on service needs .

Provide a professional, confidential and efficient Health Records service, responding to telephone, written and face-to-face enquiries with sensitivity and discretion. Accurately maintain, track and manage patient records, including filing, retrieval, clinic preparation, archiving and processing record requests, ensuring compliance with data protection and information governance requirements.

Prepare and deliver case notes within agreed timescales, ensuring records are complete, available and correctly tracked. Manage duplicate registrations, deceased patient records and secure storage of information.

Provide reception support by registering patients, updating demographic details, booking and amending appointments, recording attendance outcomes and assisting with patient enquiries.

Contribute to effective service delivery by supporting audits, performance reporting, service improvements, clinic changes and the induction of new staff. Maintain compliance with mandatory training, health and safety, manual handling and major incident procedures, using equipment safely and reporting risks, incidents or faults through the appropriate channels.
