Full job description

Job Title: Hire Desk Controller

Location: Selby Depot

Reports To: Group Transport Director

Hours: Monday to Friday, 7:00am to 5:00pm with a 30-minute unpaid lunch break. Saturday morning by rota

Purpose of the Role

The Hire Desk Controller is responsible for managing customer enquiries, coordinating equipment hires and off-hires, and ensuring an exceptional customer experience from initial enquiry through to completion of the hire.

As a key member of the depot team, you will work closely with customers, transport planners, workshop staff and depot management to maximise fleet utilisation, support revenue growth and deliver outstanding service.

Key Responsibilities

Customer Service & Sales

Handle incoming telephone calls, emails and customer enquiries.
Prepare and issue hire contracts.
Convert enquiries into confirmed hires wherever possible.
Build and maintain strong relationships with existing and prospective customers.
Identify opportunities to promote additional products and services.
Resolve customer queries and issues professionally and efficiently.

Hire Desk Operations

Process hire, extension and off-hire requests accurately and promptly.
Ensure all hire documentation is completed correctly.
Update and maintain the hire management system.
Monitor equipment availability and allocate plant accordingly.
Liaise with customers regarding delivery and collection requirements.
Ensure all contractual and compliance requirements are met.

Coordination & Planning

Work closely with transport planners to coordinate deliveries and collections.
Liaise with workshop and yard teams regarding machine availability and preparation.
Communicate effectively with depots across the business to maximise fleet utilisation.
Assist in managing fleet movements between depots when required.

Administration

Maintain accurate customer and contract records.
Raise purchase orders and process supplier invoices where required.
Support depot administration activities.
Produce reports and information as requested by management.

Commercial Awareness

Understand depot utilisation and revenue targets.
Support efforts to maximise hire opportunities and minimise equipment downtime.
Promote a positive and proactive sales culture within the depot.

Skills & Experience

Essential

Previous experience in a customer-facing administrative or coordination role.
Strong communication and organisational skills.
Ability to manage multiple priorities in a fast-paced environment.
Excellent attention to detail.
Good IT skills, including Microsoft Office.
Ability to work effectively as part of a team.

Desirable

Experience within the plant hire, tool hire, construction or equipment rental sector.
Knowledge of hire management systems such as InspHire.
Experience coordinating transport, logistics or service operations.
