Our finance environment is varied and complex, involving multiple legal entities, currencies, sales channels, payment providers and international tax jurisdictions.
We are looking for an experienced Accounts Assistant / Assistant Accountant to work closely with our Head of Operations & Finance and take ownership of the day-to-day transactional finance function. The role is central to maintaining accurate, timely accounting across a complex international, multi-channel environment, while offering a genuine development path into broader Assistant Accountant responsibilities.
Key Responsibilities
Accounts Payable
- Own the day-to-day accounts payable process across multiple entities and currencies.
- Process and check supplier invoices and credit notes.
- Ensure transactions are coded to the correct entity, nominal account, cost centre and tax code.
- Liaise with suppliers to investigate and resolve invoice, pricing, statement and payment queries.
- Reconcile supplier statements and investigate discrepancies.
- Prepare supplier payment runs for review and approval.
- Monitor aged creditors and support short-term cash-flow planning.
Accounts Receivable & Credit Control
- Maintain accurate customer accounts.
- Allocate customer receipts and investigate unapplied, short or overpayments.
- Own routine credit control, proactively following up overdue balances.
- Produce and maintain aged debtor reporting and escalate significant credit risks.
- Liaise with customers and internal teams to resolve invoice and payment disputes.
- Identify opportunities to automate invoicing, cash allocation, statements and credit-control processes.
Bank, Sales Channel, Payment & Balance Sheet Reconciliations
- Own the day-to-day reconciliation of bank accounts across multiple entities and currencies.
- Own reconciliations of sales, fees, refunds, tax and payouts from Shopify, Etsy, wholesale platforms and payment providers back to Xero and the bank, including merchant and clearing accounts.
- Investigate and resolve unmatched, duplicated or incorrectly recorded transactions, including fees, refunds, chargebacks and payout discrepancies.
- Support intercompany accounting and ensure balances between Group entities are reconciled.
Inventory & Cost of Sales Accounting
- Assist with inventory reconciliations and investigate differences between inventory systems, the general ledger and supporting records.
- Support accurate accounting for goods in transit, landed costs, supplier deposits and purchase orders.
- Assist with reconciliations and controls that support accurate inventory valuation and cost-of-sales reporting.
- Work with Operations and Finance to investigate inventory and purchasing discrepancies and improve the quality of source data.
General Ledger & Month End
- Own transaction quality, ensuring transactions are accurately recorded to the correct entity, account, cost centre, currency and tax code.
- Review suspense and clearing accounts and resolve discrepancies.
- Assist with accruals, prepayments, journals and other month-end adjustments.
- Support the Head of Operations & Finance with the monthly close and preparation of management accounts.
VAT, Tax & International Transactions
- Ensure appropriate VAT, sales tax and other indirect-tax coding is applied to transactions.
- Assist with VAT and tax control-account reconciliations and preparation of information for returns.
- Support accurate accounting for international sales, purchases, imports, exports and intercompany transactions.
Finance Systems & Process Improvement
- A key part of this role is ensuring financial information is correct at source, rather than repeatedly correcting transactions once they reach Finance.
- Work with Operations, Marketing, Sales and other teams to ensure upstream systems are configured correctly from a finance perspective.
- Ensure appropriate VAT/tax codes, nominal accounts, entities, departments and cost centres are used.
- Investigate recurring errors and address their root causes.
- Help improve integrations and data flows between e-commerce, payment, inventory and accounting systems.
- Identify opportunities to automate repetitive finance processes and improve efficiency.
- Help document and strengthen finance processes and internal controls.
Reporting, Year End & General Finance Support
- Produce regular AP, AR and other transactional finance reporting.
- Support monitoring of cash balances across entities and currencies, with forecasting exposure as a development area.
- Assist with departmental and cost-centre reporting, with variance analysis developing over time.
- Support year-end accounts, audit and external accountant/tax adviser requests.
- Maintain clear supporting documentation and audit trails.
- Support the Head of Operations & Finance with ad-hoc projects and, as experience develops, financial and commercial analysis.
About You
We are looking for someone who is accurate, organised and naturally curious about how transactions and systems fit together.
You will have:
- At least two to three years of hands-on transactional accounting, bookkeeping or similar finance experience.
- You may be studying towards AAT, ACCA or another relevant accounting qualification, or be keen to do so; study support can be provided.
- A good understanding of double-entry bookkeeping.
- Strong practical experience of accounts payable, accounts receivable, credit control, bank reconciliations and transaction-quality ownership.
- Strong Excel skills and confidence working with transactional data.
- Hands-on experience using Xero is required.
- Excellent attention to detail and a methodical approach to reconciliations.
- The confidence to investigate discrepancies and follow issues through to resolution.
- Strong communication skills and the willingness to proactively chase suppliers, customers and internal stakeholders.
- An interest in finance systems, automation and process improvement.
Experience in an e-commerce, wholesale, inventory, retail, product-based or multi-currency business is strongly preferred, particularly where the role has involved reconciling platform payouts, clearing accounts and reconciliation discrepancies.
Development Opportunity
This is an excellent opportunity for an experienced Accounts Assistant who wants genuine progression towards Assistant Accountant responsibilities and, potentially, qualification. The immediate purpose of the role is to take ownership of the daily accounting workload and reconciliation work so the Head of Operations & Finance can focus on leading finance and operations.
From the outset, you will own the core day-to-day transactional finance workload: accounts payable, accounts receivable, credit control, bank and platform reconciliations, and the quality and accuracy of transaction data. You will work closely with and learn from the Head of Operations & Finance.
As your experience and professional studies develop, the role will expand under the guidance of the Head of Operations & Finance into management accounts, budgeting and forecasting, VAT returns, cash-flow management, financial analysis and broader commercial finance responsibilities. These are development areas rather than responsibilities you are expected to own immediately, providing a clear progression route through Assistant Accountant responsibilities and towards qualification.
Pay: £30,000.00 per year
