Patient Services Administrator

Location: Maidenhead (Hybrid Working, minimum 2 days in the office)
Salary: £26,000-£28,000 (depending on experience) + Benefits

At Apodi, we are looking for a compassionate, proactive, and detail-oriented Patient Services Administrator to join our growing team. This is an exciting opportunity to play a key role in supporting healthcare programmes that positively impact patients across the UK.

About the Role

As a Patient Services Administrator, you will be at the heart of our operational team, providing essential administrative support across our healthcare projects. Acting as a central point of contact for patients, carers, nurses, NHS Healthcare Professionals, and homecare delivery providers, you will help ensure the smooth delivery of safe, effective, and patient-centred care.

This is a varied role that requires excellent communication skills, strong attention to detail, and the ability to manage multiple priorities within a busy and supportive team environment.

Key Responsibilities

Act as a first point of contact for patients and carers, delivering a professional, empathetic, and high-quality service.
Manage patient referrals and appointments using the Apodi Patient Management System.
Coordinate nurse diaries and schedule patient appointments.
Process incoming and outgoing telephone calls and respond to patient and healthcare professional enquiries.
Upload and maintain accurate patient records and documentation within internal systems.
Prepare and send required documentation to NHS Trusts and other stakeholders.
Conduct weekly reconciliation activities to ensure patient records are accurate and complete.
Support pharmacovigilance activities by processing and documenting adverse events within the Radar AE system.
Maintain accurate data entry across patient management, appointment, reporting, and adverse event systems.
Support shared mailbox management and correspondence handling.
Assist with incoming and outgoing post.
Contribute to audits, reporting, and quality improvement initiatives.

About You

Essential Requirements

Previous administration experience.
Strong customer service skills.
Ability to handle confidential and sensitive information appropriately.
Excellent time management and organisational skills.
Experience working effectively as part of a team.
GCSE (or equivalent) Grade 4/C or above in English and Maths.
Good working knowledge of Microsoft Office applications, including Word, Excel, and Teams.

Desirable

Experience working within a healthcare environment.
Familiarity with patient management systems.
Understanding of healthcare administration processes.
