Full job description

Overview

We are looking for an organised, reliable and proactive Office Administrator to join our busy MOT & Service Centre.

The successful candidate will play a key role in the day-to-day running of the office, supporting the workshop team, customers, suppliers and management. This is a varied position suited to someone who enjoys working in a fast-paced environment and is confident managing multiple tasks at the same time.

Key Responsibilities

Managing general office administration and ensuring paperwork is completed accurately
Answering telephone calls and dealing with customer and supplier enquiries
Customer vehicle bookings and coordinating repair schedules
Liaising with customers, fleet operators, insurance companies and suppliers
Opening and closing job cards and maintaining accurate vehicle records
Preparing estimates, invoices and other documentation
Updating customers on vehicle repair progress
Ordering parts and liaising with suppliers where required
Processing purchase invoices and assisting with accounts administration
Maintaining accurate electronic and paper filing systems
Monitoring outstanding jobs and ensuring documentation is kept up to date
General reception and office duties
Providing administrative support to management as required

We are looking for someone who is:

Highly organised with excellent attention to detail
Confident communicating with customers, suppliers and colleagues
Comfortable using Microsoft Office and computer-based systems
Able to prioritise work and manage multiple tasks
Professional, friendly and approachable
Reliable and able to work well under pressure
A confident telephone manner
Able to use initiative
Comfortable working as part of a busy team

Previous experience in the motor trade would be an advantage.
