Job Description – Landscape Co-ordinator

Job Title: Landscape Co-ordinator

Reports To: Contracts Manager / Operations Manager

Role Overview

The Landscape Co-ordinator plays a key role in supporting the day-to-day delivery of landscaping and grounds maintenance operations. The role is responsible for managing incoming client work requests, coordinating workloads, procuring materials, maintaining accurate records, and providing administrative support to ensure works are delivered efficiently and to a high standard.

Key Responsibilities

Monitor and manage client email inboxes, responding to and prioritising work requests.
Assess incoming works and coordinate priorities in consultation with management.
Schedule and distribute work programmes to site teams.
Procure landscaping materials, including turf, plants, trees, soils, aggregates, and other required products, ensuring materials are available when needed.
Liaise with suppliers to obtain quotations, place orders, and arrange deliveries.
Prepare and issue quotations and variations for additional works to clients.
Maintain accurate job records using the company's in-house systems.
Collate information from site teams, including timesheets and completed work records.
Assist with the preparation of monthly invoicing by ensuring all relevant information is complete and accurate.
Maintain effective communication with clients, suppliers, and operational teams.
Provide general administrative support to the contracts and operations teams as required.

Skills & Experience

Essential

Strong IT skills, including Microsoft Office (Outlook, Excel and Word).
Ability to learn and confidently use company in-house software systems.
Excellent organisational and time management skills.
Ability to prioritise multiple tasks in a fast-paced environment.
Strong communication skills, both written and verbal.
High level of accuracy and attention to detail.
Ability to work independently as well as part of a team.
Full UK Driving Licence.

Desirable

Previous experience in landscaping, grounds maintenance, construction, or a similar operational environment.
Experience of scheduling or coordinating field-based teams.
Knowledge of purchasing and procurement processes.
Experience preparing quotations, variations, or invoices.

Salary / Benefits

£35,000 – £38,000 (40 hours a week).
Pension plan.
20 days Annual Leave plus Bank Holidays .
Use of company vehicle, where required.

Pay: £35,000.00-£38,000.00 per year
