Job Summary

We are seeking a dynamic and detail-oriented Administration Assistant to join our team! In this vital role, you will provide essential administrative support to ensure the smooth and efficient operation of our office. Your proactive approach, excellent organizational skills, and positive attitude will help keep our daily activities running seamlessly. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a vibrant workplace environment.

Responsibilities

Manage incoming calls with professionalism and courtesy, directing inquiries to the appropriate departments
Perform data entry tasks accurately using Microsoft Office and Accounting Software.
Organise and maintain files, records, and office supplies to support operational efficiency
Assist with scheduling appointments, meetings, and calendar management for team members
Prepare correspondence, reports, and basic documentation with attention to detail
Support invoicing, billing, and basic bookkeeping activities using Xero.
Coordinate office logistics such as ordering supplies and managing mail distribution

Requirements

Proven office experience demonstrating strong organizational and multitasking abilities
Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and data entry tools
Prior administrative experience with familiarity in clerical tasks and record keeping
Excellent phone etiquette with clear communication skills
Strong organizational skills with the ability to prioritize tasks efficiently
Fast and accurate typing skills for document preparation and data entry
Knowledge of QuickBooks accounting software is a plus but not mandatory
Ability to adapt quickly to new software systems and office procedures
