About the role
Are you a highly organised administrator who enjoys variety, problem-solving, and supporting a busy operational team? We're looking for a proactive and detail-focused individual to join our Operations Team, playing a vital role in ensuring the smooth delivery of services through effective administration, customer support, and financial processing.
In this varied role, you'll work closely with colleagues, contractors, suppliers, and customers, helping to keep projects on track, maintain accurate records, process orders and invoices, and respond to enquiries. If you're an excellent communicator with strong organisational skills and a commitment to delivering high-quality support, we'd love to hear from you.
What will you be doing?
- Provide high-quality administrative support to the Operations Team.

Maintain accurate records and monitor progress to ensure work is completed within agreed timescales.

Liaise with suppliers, contractors, customers, and colleagues, responding promptly and professionally to enquiries and resolving issues as they arise.

Operate the Financial Management System (FMS) to raise purchase orders, receive goods, process invoices, and obtain quotations when required.

Maintain accurate project and financial records to support audit requirements, contract procedures, and effective financial management.

Manage and maintain electronic and paper-based filing systems, including creating new files and archiving records.

Issue and administer access cards using the Net2 system.

Process and distribute incoming correspondence efficiently.

Answer telephone calls and deal with general enquiries in a professional and customer-focused manner.

Support contractor administration, including raising purchase orders and processing invoices.

Comply with all Health and Safety policies and procedures, ensuring the safety of yourself and others.

Undertake other duties appropriate to the grade as required by the Manager or Supervisor.
About you
- Good educational background to at least GCSE level or NVQ2 or equivalent.
-
Good communication skills, both written and verbal, with the ability to communicate at all levels.

An intermediate level of Microsoft Office

Good organisational skills with ability to manage a large and varied work load, keeping to deadlines.

Highly motivated with ability to work on own initiative with minimum supervision.

Ability to work as member of a team.
-
Customer focussed, demonstrating sound customer care skills.

Ability to remain calm whilst working under pressure.

Ability to remain strictly confidential at all times.

Previous experience in a similar role.

Willing to undertake training related to the post and or career development.
