Full job description

Job Summary
We are seeking a professional and organised Receptionist to join our team. The ideal candidate will be the first point of contact for visitors and callers, providing excellent customer service and administrative support. This role offers an opportunity to work in a dynamic environment where organisational skills and attention to detail are highly valued. The successful applicant will be responsible for managing front desk operations, handling correspondence, and supporting various administrative functions to ensure smooth office workflow.

Duties

Greet visitors and clients in a courteous and professional manner
Answer and direct phone calls using proper phone etiquette
Manage incoming and outgoing correspondence, including emails and postal mail
Maintain appointment schedules and organise meetings using Microsoft Office and Google Workspace tools
Perform data entry tasks with accuracy, utilising programmes such as QuickBooks and other database systems
Assist with administrative tasks such as filing, photocopying, and organising office supplies
Update records and maintain organised filing systems
Support team members with general clerical duties as required
Ensure the reception area remains tidy and welcoming at all times

Experience

Previous office experience is preferred but not essential; training will be provided for the right candidate
Proficiency with computer skills including Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
Experience with data entry, clerical work, or administrative roles is advantageous
Strong organisational skills with the ability to multitask effectively
Excellent phone etiquette and communication skills
Typing speed of at least 40 words per minute is desirable
Familiarity with QuickBooks or similar accounting software is a plus
