Job Summary
Penryn Town Council seeks a part-time (22 hours per week) Administration Assistant.

The above position is a part-time, fixed term post (6 months)

Working days will be Wednesday, Thursday and Friday, there will be occasional evening and weekend work.

The role is varied and includes supporting the Town Council’s administration, updating the Council’s website and social media, along with working (customer facing) for one-day per week in Penryn Library

The role is in-person and will require attendance at the Library/Council Offices, St Thomas Street, Penryn TR10 8JN.

Job Description – Administration Assistant

Library

1. Receive customer enquiries by telephone, electronically, post or face to face. Take prompt and appropriate action in accordance with procedures and instructions.

2. Fully process a range of customer services such as the issuing of library books

3. Enrol and update/renew customers library details

4. Assist customers with library stock availability, make and allocate/reservations as required

5. Assist members of the public on how to use the in-house public PC’s, self-service till and any other library enquiries.

6. Provision of assistance to customers to fill-in appropriate forms where required and only if sufficient staff are available.

7. Use customer service IT packages effectively, updating and maintaining computerised systems to ensure the service performs successfully

8. Take follow-up action and represent the customer (if required) in an effective manner by liaising with service delivery teams and partners in a coordinated way.

9. Deal with customer’s complaints in accordance with Cornwall Council’s Corporate Complaints process, advising customers of the applicable procedures, proactively resolved wherever possible or escalating to Service Recover team if required

10. Operate with due regard to Cornwall Council’s confidentiality policies, GDPR and best practice.

11. Operate in accordance with the diverse needs of the community to ensure equal access to all services

12. Ensure a positive and flexible approach to the variety of tasks within the role as the service develops to enable effective and appropriate staffing levels to meet customer demand,

13. Process requests for Cornwall Council services in accordance with their procedures and instructions for all services (as laid down in their works manual)

14. Support personal callers to the Penryn Information Service in making applications for Cornwall Council services and to forward those applications using the relevant process to the correct Cornwall Council or partner service

Penryn Town Council

15. Deal with customer enquiries via the telephone and face to face.

16. Take payments as required for the Town Council (e.g., hall hire)

17. Process and distribute incoming mail

18. Monitor the info inbox and respond/forward accordingly.

19. Administer hall bookings ensuring booking forms are completed and ensure any relevant paperwork is given to the hirer.

20. Correspondence and other administration as required by the Town Clerk and Councillors.

21. Provide administrative support as required for civic and town events

22. Maintain the Town Council’s website ensuring all information is current and up to date, monitor the Town Council’s social media ensuring inappropriate content is removed.

23. Despatch council papers as required

24. Maintain and update the display of leaflets/information within the library, maintain all the Council’s noticeboards (library, halls and external) ensuring all information is current, recycle any out-of-date information.

25. Provide support to the Town Clerk and Finance Officer as and when required, in the absence of the administration officer, perform their duties where possible.

26. Support committees, working groups of the Council as and when required, including producing the required paperwork, attending meetings and taking minutes (this may occasionally involve evening or weekends).

27. Attend events as required as part of the Town Council’s civic functions.

28. Comply with the General Data Protection Regulations (GDPR)

29. Comply with the requirements of the Town Council’s Office Protocol

30. Present a professional and consistent corporate image of the Council
