Deputy Donor Records Manager

Job Summary

As Deputy Donor Records Manager, you will play a vital role in helping NHS Blood and Transplant deliver safe, reliable services that support donors, patients and colleagues across the organisation.

Working closely with the Donor Records Manager, you will lead and support a team responsible for maintaining accurate donor records, processing clinical information and ensuring work is completed to high quality standards and within agreed timescales.

You will build strong relationships with teams across NHSBT, help resolve complex queries and contribute to continuous service improvement. This is an opportunity to develop your leadership skills, share your expertise and make a meaningful contribution to a service where accuracy, teamwork and quality directly support the safety of blood and blood products.

The working hours for this role are Tuesday Friday 7:00am 15:00pm and Saturday 06:00am 14:00pm.

Main duties of the job

Lead and support a dedicated team to deliver accurate donor record management that helps safeguard donors, patients and blood supplies.
Coordinate workloads and resources to ensure work is completed within service standards and stakeholder expectations.
Maintain high-quality records and documentation, ensuring compliance with procedures and regulatory requirements.
Build effective relationships with clinical, laboratory and operational teams to support safe and timely decision-making.
Respond sensitively and professionally to donor, public and stakeholder enquiries, helping to deliver a positive experience.
Support and develop colleagues through training, coaching, performance management and day-to-day leadership.
Deputise for the Donor Records Manager, helping to maintain service continuity and team performance.
Monitor and promote quality standards, contributing to audits, compliance activities and continuous improvement initiatives.
Contribute to system and process improvements that enhance efficiency, accuracy and service delivery.
Share your expertise across NHSBT, supporting learning, collaboration and the ongoing development of the service.

About You

Experience and Knowledge

Experience working in an administrative environment, including supervising or leading colleagues.
Ability to prioritise workloads, use your initiative and support others to meet deadlines.
Strong attention to detail, with the ability to complete critical tasks accurately and consistently.
Experience using Microsoft Office and other workplace systems, with strong word processing and written communication skills.
Proven ability to solve problems, make sound decisions, work collaboratively and lead a team when required.

Qualifications and Training

Educated to A level standard or equivalent qualification or experience.
Proficient keyboard and typing skills.
