Executive Assistant & Business Administrator

Salary: Generous salary D.O.E

Location: Codsall, Wolverhampton (ideally within an hour's travel; occasional travel to our other office locations)

Reporting to: Managing Director

Job Type: Full-time and part-time applications welcome.

Apollo Home Healthcare is looking for an exceptional Executive Assistant & Business Administrator to work in close partnership with our Managing Director. This isn't a role for someone who waits to be asked - we need someone who anticipates what is needed, takes ownership of priorities before they are chased, and uses modern tools, including AI, to work smarter and faster.

You will sit at the heart of the organisation: coordinating executive and board-level activity, supporting business planning, and helping drive improvement projects across a growing, Private Equity-backed healthcare provider.

Key Responsibilities:

Provide comprehensive executive support to the Managing Director, including complex diary management and correspondence.
Prepare agendas, papers and briefings for Executive, Senior Leadership and Board-level meetings.
Coordinate calendars, business planning schedules, and reporting.
Support organisational improvement and transformation projects, including action logs and progress reporting.
Oversee property and facilities administration across our eight office locations - lease monitoring, office moves and supplier liaison.
Use AI tools to speed up document preparation, research, and day-to-day administration.
Identify opportunities to improve how the business runs and help put those improvements into practice.

Essential Skills and Experience:

Proven experience as an Executive Assistant, PA or Business Administrator supporting senior leaders.
Track record managing complex diaries and competing priorities without dropping the ball.
Experience preparing board papers, reports, or presentations to a high standard.
Confident using Microsoft 365 day-to-day, with an interest in AI productivity tools.
Discretion, professionalism, and confidence collaborating with people at every level of the organisation.

Desirable: Healthcare or other regulated-sector experience.
