Personal Assistant to the Managing Director

About Us
We are a growing, NHS-approved training company specialising in the delivery of the Oliver McGowan Mandatory Training on Learning Disability and Autism, alongside a range of additional training and consultancy services.

We operate nationally, with trainers strategically positioned throughout the country. Working alongside our dedicated team, we oversee the entire training process from initial enquiry and planning through to delivery, completion and ongoing client support.

We work closely with numerous clients, partners, trainers and external organisations. Building positive relationships, supporting partnerships and collaborating effectively with others will be an integral part of this role.

Job Summary
We are seeking a proactive, responsible and highly organised Personal Assistant who will support both the wider business and the Managing Director directly.

This will be a close working relationship built on trust, reliability and open communication. Working hand in hand with the Managing Director, you will help organise schedules, coordinate operational activities, manage communications and professional relationships, prepare documents, take meeting notes and minutes, and ensure important administrative tasks and follow-up actions are completed.

You will also help coordinate and respond to day-to-day challenges directly with the Managing Director, identifying practical solutions and helping to ensure the business continues to operate smoothly.

A key part of the role will be maintaining oversight of the Managing Director’s calls, emails, meetings, deadlines and commitments, ensuring that important details and actions are not missed.

This is a trusted and varied position requiring excellent organisational and communication skills, strong attention to detail and the confidence to take responsibility within a busy, growing business.

Key Responsibilities

Work closely with the Managing Director to support daily activities and business priorities
Organise and maintain the Managing Director’s calendar, appointments and meetings
Manage calls for the Managing Director and ensure messages and actions are recorded and followed up
Draft, manage and respond to emails professionally, liaising with clients, partners, trainers and external organisations
Prepare accurate and professional documents, reports, spreadsheets, correspondence and presentations
Keep track of the Managing Director’s commitments, deadlines, meetings and outstanding actions
Help manage workloads, priorities and follow-up actions so that nothing important is missed
Work directly with the Managing Director to respond to operational challenges, resolve issues and maintain the smooth running of the business
Attend meetings, take accurate notes and produce clear minutes and action points
Monitor agreed actions and follow up with the relevant individuals
Assist with day-to-day operational activities across the business
Communicate professionally with clients, partners, trainers and external organisations
Help maintain positive relationships with existing clients and partners
Support the development of new partnerships and collaborative opportunities
Coordinate communication between the Managing Director, team members and external contacts
Coordinate meetings, travel arrangements, venues and other logistical requirements
Support the organisation and coordination of training activities
Maintain accurate records, databases and spreadsheets
Support administrative and basic financial tasks using Xero
Undertake general administrative duties, including filing, scanning and document management
Handle confidential and sensitive information responsibly and discreetly
Provide flexible support as the needs of the business develop

Ability to take responsibility for tasks and ensure they are completed
Ability to anticipate what needs to be done and ensure important details are not overlooked
Strong problem-solving skills and the ability to respond calmly to challenges

Confidence communicating and liaising with clients, partners, trainers and external organisations
Strong email communication and professional correspondence skills
Confidence preparing professional documents, reports, spreadsheets and presentations
Ability to collaborate effectively with a wide range of people
Strong attention to detail and a consistently organised approach
Confidence managing several priorities at the same time
Ability to use Xero or similar accounting software
Good working knowledge of Microsoft Office, including Word, Outlook, PowerPoint and Excel
Confidence using Google Workspace, including Gmail, Drive and Calendar
Strong Excel and general spreadsheet skills
Excellent written and verbal communication skills
Ability to take accurate meeting notes and prepare clear minutes
Confidence managing telephone calls, calendars, meetings and follow-up actions
Professional telephone manner
Ability to work independently and use initiative
Previous experience in a personal assistant, administrative, relationship management or operational support role would be beneficial

Working Environment
We have a main office along with access to a variety of different working spaces. However, our working style is flexible and is not limited to a traditional office environment. We regularly work from cafés and other comfortable, professional settings, depending on the needs of the day.

There are options for a hybrid approach, combining office-based and remote working with travel and working from other locations when appropriate.

As the role directly supports the Managing Director, flexibility will be important. The successful candidate will need to work from the office or alongside the Managing Director when required.
