Post: Receptionist
Salary: £13.45 per hour (approx. £17,150 per annum, pro-rata)
Hours of work: Part-time, 24.5 hours per week, worked as a combination of morning and afternoon shifts within the hours of 8:15am and 5:45pm, Monday to Friday. Occasional flexibility may be required to cover holidays and sickness.
Holidays: 20 days per year plus statutory bank holidays, increasing by 1 day per year up to 25 after 5 years' service.

Probationary Period: 3 months

Purpose of the Post: Front-of-house customer service, providing reception, bureau and administration functions for the Company and our clients.

As Receptionist, you'll handle a mix of front-of-house tasks, from managing bookings and welcoming visitors to maintaining digital records and assisting with facilities. Some days will be busy with multiple responsibilities, while quieter periods give you the chance to get stuck into admin, marketing, and digital projects.

Principal Duties
A. Front of House & Customer Service
1. Ensure a friendly, professional and effective reception service is provided to occupiers, visitors and staff of Sheffield Technology Parks, including dealing with requests and queries.
2. Operate the telephone switchboard and message/answering service for Sheffield Technology Parks.
3. Handle general enquiries from occupiers and visitors, maintaining up-to-date knowledge of available services and offices.
4. Manage and operate the room booking system for conference and meeting rooms, ensuring bookings are confirmed and properly equipped in advance.
5. Organise refreshments throughout conference and meeting room bookings.
B. Facilities & Security
6. Oversee and run the bureau service for occupiers and non-occupiers, including photocopying, printing, binding and packaging.
7. Carry out mail room duties, including sorting incoming mail, handling deliveries, and processing outgoing mail.
8. Help to keep sufficient stock of refreshments, stationery and cleaning supplies.
9. Operate and monitor the building's access security system.
10. Understand fire and emergency procedures and act as a fire marshal to direct clients to the muster point.
11. Ensure conference and meeting rooms are clear of consumables, with equipment switched off and secure, at the end of each day.
12. Lock and secure the premises.
C. Administration & Systems
13. Prepare information for monthly accounts for bureau services and raise fees for occupiers via the company's management system.
14. Undertake general clerical and word processing duties for occupiers and staff.
15. Maintain the company's Customer Relationship Management (CRM) package and other information databases.
16. Monitor and maintain promotional literature, notice boards and stationery levels.
17. File documents as required.
D. Marketing & Digital
18. Send marketing information to prospective clients when required.
19. Maintain the back end of the company website on a regular basis, keeping news, achievements, the occupiers list and available office space up to date.
20.Monitor social media accounts and respond or post as directed.
E. Team & Flexibility
21. Assist the wider STP team as appropriate.
22.Flexibility to cover holidays and sickness. This is critical to the role.
23.Carry out any other duties which may be required, provided they do not change the nature of the post.
Person Specification — Receptionist
Essential Criteria
Qualifications & Experience
- Previous experience in a receptionist, customer service, or front-of-house role.
- Experience handling telephone calls and general administrative tasks.
- Knowledge of Microsoft Office (Word, Excel, Outlook) and general IT proficiency (e.g. comfortable learning booking systems, CRM software, or website content management tools).
