Full job description

Hours: 37.5 hours per week
Working Pattern: Monday to Friday, plus every other Saturday (with a half-day in lieu during the week)

Purpose of the Role

To lead and manage the Lettings Department, ensuring properties are let efficiently, landlords receive exceptional service, compliance standards are maintained and departmental targets are achieved.

The Lettings Manager will oversee the Receptionist, Lettings Negotiators and Lettings Administrator, driving performance, improving processes and ensuring the department operates effectively and profitably.

Key Responsibilities

Team Leadership

Manage and support the Lettings team on a day-to-day basis.
Conduct regular one-to-one meetings and performance reviews.
Train, mentor and develop team members.
Set and monitor departmental KPIs.
Assist with recruitment and onboarding where required.
Foster a positive, high-performance culture.

Lettings Performance

Monitor occupancy levels and void periods.
Ensure all available properties are marketed effectively.
Review applicant pipelines and conversion rates.
Oversee viewing activity and agreed lets.
Work with negotiators to maximise tenancy conversions.
Ensure departmental revenue targets are achieved.

Landlord Relations

Maintain strong relationships with landlords and investors.
Handle escalated landlord enquiries and complaints.
Conduct rental reviews and provide market advice.
Support retention of key landlord clients.
Assist with major client meetings where required.

Compliance & Risk Management

Ensure compliance with all lettings legislation and company procedures.
Oversee AML, Right to Rent and landlord verification requirements.
Ensure selective licensing obligations are met.
Assist with internal audits and compliance reviews.
Monitor file quality and documentation standards.

Departmental Operations

Review departmental reporting and performance metrics.
Improve systems, processes and efficiency.
Work closely with Property Management and Accounts teams.
Support business acquisitions and integration projects where required.
Ensure accurate records are maintained across company systems.

Business Development Support

Assist with market appraisals when required.
Support the generation of landlord referrals.
Identify opportunities to increase management revenue and ancillary income.
Promote Davidson Estates' services to existing clients.

Key Skills & Experience

Essential

Previous estate agency or lettings experience.
Strong understanding of lettings legislation and compliance.
Leadership and people management skills.
Excellent communication and negotiation skills.
Highly organised and commercially minded.
Ability to manage multiple priorities.
Full UK driving licence and access to a vehicle.

Desirable

ARLA Propertymark qualification.
Experience managing a lettings team.
Experience using Jupix, PayProp, Goodlord or similar systems.
Knowledge of the Birmingham property market.

Key Performance Indicators (KPIs)

Occupancy levels across the portfolio.
Lettings revenue achieved.
Number of agreed lets and move-ins.
Compliance completion rates.
Audit scores.
Team productivity and performance.
Landlord retention rates.
Client satisfaction levels.
Department profitability.

Quarterly Bonus Structure

A quarterly bonus will be payable subject to departmental and company performance.

Bonus Criteria

Lettings Revenue Target

Quarterly bonus payable if the Lettings Department achieves or exceeds its revenue target.

Compliance Target

AML, Right to Rent, Terms of Business and licensing compliance maintained at agreed levels.

Audit Target

Internal audit scores achieved.
File quality maintained across the department.

Occupancy Target

Void levels maintained below agreed departmental targets.

Team Performance Target

Agreed lets, move-ins and service standards achieved.

Bonus Payments

All targets achieved: £1,000 per quarter
4 out of 5 targets achieved: £750 per quarter
3 out of 5 targets achieved: £500 per quarter
Below 3 targets achieved: No bonus payable.

Maximum annual bonus potential: £4,000 per annum.
