The Role

Due to continued growth, we're looking for an experienced and organised Wealth Planning Administrator to join our expanding team.

This is a key role supporting our Financial Planners by ensuring the smooth administration of client cases from initial enquiry through to implementation and ongoing servicing.

The ideal candidate will have previous experience within financial services and enjoy delivering a first-class client experience whilst working in a fast-paced, collaborative environment.

Key Responsibilities

We're looking for someone who already has experience working within financial services, ideally within an Independent Financial Adviser, wealth management or regulated advice environment.

As a Wealth Planning Administrator, you will:

Provide administrative support to Financial Planners throughout the advice process.
Prepare client review packs, valuations and meeting documentation.
Manage Financial Planners' diaries, coordinating client meetings and reviews to ensure ongoing service clients are contacted and serviced in line with agreed service levels.
Process new business applications across pensions, investments and protection.
Liaise with providers, clients and third parties to obtain information and progress cases.
Maintain accurate client records using the firm's CRM system.
Prepare suitability report information and supporting documentation where required.
Monitor outstanding business and follow up providers to ensure timely completion.
Handle client enquiries professionally via telephone and email.
Ensure all administration is completed accurately and in line with FCA regulatory requirements and internal procedures.
Assist with ongoing client servicing, annual reviews and portfolio administration.
Support the wider team with ad hoc administrative duties as required.

About You

We're looking for someone who has:

Previous administration experience within an Independent Financial Adviser (IFA), wealth management or regulated financial advice firm.
Excellent organisational skills with the ability to prioritise a busy workload.
Exceptional attention to detail and a high level of accuracy.
Strong written and verbal communication skills.
A professional, friendly and proactive approach.
Excellent client service skills with the confidence to build positive relationships.
Good working knowledge of Microsoft Office, particularly Outlook, Word and Excel.
Experience using financial planning back-office or CRM systems (such as Intelligent Office, Xplan or similar) would be advantageous.
The ability to work independently whilst also contributing as part of a close-knit team.

Desirable Qualifications & Experience

Experience within financial planning, wealth management or an IFA practice.
Good understanding of pensions, investments and protection products.
Knowledge of FCA regulations and financial services administration processes.
Progress towards, or willingness to study for, the Level 4 Diploma in Regulated Financial Planning would be an advantage but is not essential.
