Role

The role requires an enthusiastic and multi-skilled Administrator who will identify and deliver a wide range of activities. This is an exciting role with activities spread across a broad range of areas and on a number of different projects.

Key Responsibilities / Activities

Administrative Support

· Provide day-to-day administrative support to managers and project teams.

· Maintain accurate electronic filing systems and project records.

· Prepare, format and distribute documents, reports, presentations and meeting papers.

· Coordinate meetings, workshops and events, including venue bookings, invitations and logistics.

· Support the maintenance of organisational databases and contact records.

· Support the Programme’s internal reporting requirements.

Manager and Team Support

· Assist with diary management and meeting scheduling for managers.

· Monitor designated email inboxes, identifying priority actions, responding to routine enquiries where appropriate, and ensuring correspondence is directed to the appropriate member of staff.

· Track actions arising from meetings and support managers in following up outstanding tasks.

· Support the coordination of internal communications and information sharing.

Project Administration

· Assist project managers with maintaining project documentation, records and reporting information.

· Support the administration of grants, contracts, invoices and procurement processes.

· Help collate information required for project reporting and funding returns.

· Maintain stakeholder, partner and landowner contact information where required.

Organisational Support

· Support the smooth running of organisational systems and processes for the Programme.

· Ensure records are maintained in accordance with organisational policies and data protection requirements.

· Undertake other duties consistent with the role and objectives of the Trust.

General

· Ensure that you understand the Freshwater Habitats Trust strategy for freshwater biodiversity conservation and that you represent the views of the organisation in your work.

· Seek to improve your knowledge and understanding of best practice and evidence on relevant conservation issues, with a focus on freshwaters and associated habitats.

· Be responsible for your own health and safety at work.

· Contribute positively at meetings and to the maintenance of a constructive working environment.

Person specifications

Knowledge and experience

· At least 1 years’ experience of project administration

· Prioritising multiple tasks and deadlines

· Strong attention to detail and accuracy

· Efficient workload planning and multitasking

· Proven ability to communicate effectively and persuasively.

· Computer literate: Word, Excel, database use and management, and website and social media management tools.

· Full current driving licence.

Personal qualities

· Ability to manage workload and meet internal deadlines through effective forward planning.

· Team orientated and comfortable working with a wide range of partners.

· Good verbal and written communication skills.

· Good interpersonal skills - approachable, professional and courteous.

· Attention to detail and able to deliver on time.

· Ability to work independently under your own initiative, and as part of a team.

Pay: £26,000.00 per year
