We currently have an exciting opportunity for an Administrator - Engineering to join our Engineering Team.
As an Engineering Administrator you will support the Engineering Manager with all administration tasks.
Your key responsibilities will include:
- Adhere to all Standard Operating Procedures (SOPs).
- Liaise with the Engineering team to raise Purchase Orders, ensuring all information is accurate and appropriate approvals and authorisations are obtained.
- Maintain accurate accounts and support timely invoice payments.
- Compile, maintain and manage all Engineering compliance records and audit trails.
- Ensure compliance information is accurate, up to date and accessible to operational teams in the appropriate format.
- Manage the site's ancillary supply chain from both financial and inventory perspectives.
- Maintain accurate records, accounts and stock levels to support operational requirements.
- Complete preliminary invoice checks against approved quotations, purchase orders and budgets.
- Investigate invoice discrepancies and escalate issues to the relevant department where required.
- Work closely with the Engineering Manager to maintain minimum stock levels.
- Coordinate the procurement of spare parts, services and consumables to support site operations.
- Maintain Engineering compliance and statutory inspection calendars.
- Inform the Engineering Manager of all upcoming compliance and inspection activities.
- Support the completion of actions associated with compliance and statutory inspections.
- Ensure all engineering-related documentation, records and certifications are current and accurately maintained.
- File engineering documentation and records appropriately.
- Provide general administrative support to the Engineering team as required.
- Support the Engineering Manager and Senior Management team with administrative tasks.
- Ensure compliance with internal controls, Company policies and external regulatory standards.
- Recognise and understand the impact of the role on wider business operations.
- Train and support colleagues on engineering administration processes and tasks when required.
- Collect, compile and report Engineering KPI data at agreed intervals.
- Ensure KPI reports are accurate and submitted on time.
- Monitor Engineering budget spend and expenditure.
- Highlight potential overspends, cost variances and contract increases to the Engineering Manager.
- Schedule Engineering contractors within relevant calendars.
- Maintain contractor documentation, permits, insurance records and compliance records.
- Ensure contractor documentation remains current and up to date.
- Process orders and ensure timely and accurate receipt of stock.
- Notify the Engineering Manager of any stock or delivery discrepancies.
- Undertake any other reasonable duties within the scope of the role as requested by the Engineering Manager or Engineering team.
- Monitor engineering KPIs and proactively highlight adverse trends to the Engineering Manager.
In addition to the responsibilities outlined above, the post holder will be expected to undertake such other duties as may reasonably be required by management, in line with the needs of the business. The role may also require the provision of support across other sites within the Group as and when required.
