Operations Manager

About the Role

As Operations Manager, you will be responsible for ensuring the practice operates effectively across its day-to-day services.

You will provide visible, supportive leadership to the administrative and operational teams, while working closely with clinical colleagues and the Practice Manager to ensure patient services are delivered safely, efficiently and consistently.

We are looking for an organised, confident and solutions-focused manager who can take ownership of operational challenges, support and develop staff, and bring people with them through change.

This is an excellent opportunity for an experienced primary care or healthcare manager who enjoys working in a busy environment and is committed to improving both patient experience and practice performance.

Hours: 35 hours per week
Working pattern: Monday, Tuesday, Thursday and Friday 09:00–17:00; Wednesday 09:00–14:00
Salary: Dependent on experience

Job Description

Key Responsibilities

Your responsibilities will include:

Supporting the day-to-day operational management of the practice.
Providing visible and supportive leadership to the administrative, reception and operational teams.
Leading, supporting, motivating and developing staff to achieve high standards of performance.
Ensuring appropriate staffing levels and effective workforce utilisation.
Monitoring staff rotas, workload and service capacity, identifying and responding to operational pressures.
Identifying operational challenges and implementing practical, effective solutions.
Reviewing and improving systems and processes to increase efficiency and enhance patient experience.
Supporting the delivery of access, appointment and demand-management initiatives.
Working collaboratively with clinical teams to improve patient pathways and operational processes.
Supporting the implementation of new systems, processes and service developments.
Ensuring practice policies, procedures and standard operating processes are implemented consistently.
Supporting compliance with CQC requirements, NHS contractual obligations, health and safety, information governance and other relevant standards.
Assisting with audits, inspections and preparation for CQC and other regulatory requirements.
Identifying training and development needs within operational teams and supporting appropriate development.
Supporting recruitment, onboarding, performance management and absence management.
Working closely with the Practice Manager and the Deputy Practice Manager on people-management and employee-related matters.
Promoting effective communication and collaboration across the practice.
Producing operational reports and management information to support effective decision-making.
Monitoring agreed performance indicators and supporting the delivery of practice objectives.
Contributing to wider practice improvement, service development and quality improvement initiatives.
Undertaking other reasonable duties consistent with the level and responsibilities of the role.

Person Specification

Essential Requirements

Experience

Minimum of two years' supervisory or management experience, preferably within primary care, the NHS or another healthcare environment.
Experience of managing, supporting and developing staff.
Experience of managing competing priorities and operational pressures within a busy environment.
Experience of improving systems, processes or service delivery.
Experience of monitoring performance and working towards agreed objectives or KPIs.

Knowledge and Skills

Strong leadership and people-management skills.
Excellent communication and interpersonal skills.
Strong organisational, prioritisation and workload-management skills.
Confident approach to problem-solving and operational decision-making.
Ability to manage challenging situations and resolve conflict professionally.
Ability to analyse information and use data to support decision-making.
Good understanding of healthcare operational processes.
Working knowledge of CQC requirements, health and safety, confidentiality, information governance and data protection.
Strong IT and data-management skills.
Ability to work collaboratively with both clinical and non-clinical colleagues.
Confidence to challenge constructively and make informed decisions when required.

Systems Experience

Experience of one or more of the following would be expected:

SystmOne.
Microsoft Office and other administrative/data-management systems.

Desirable

The following experience or knowledge would be advantageous:

Previous experience in an Operations Manager, Service Manager, Practice Manager or senior administrative management role.
Experience working within General Practice or Primary Care.
Experience of QOF and primary care reporting.
Knowledge of enhanced services and NHS primary care contractual requirements.
Experience of working within a Primary Care Network.
Experience supporting CQC inspections or practice regulatory reviews.
Experience of leading service improvement or change projects.
Experience of using operational data and KPIs to improve practice performance.
Experience of managing patient access, appointment systems and online triage.
Knowledge of workforce planning and capacity management within primary care.

What We Are Looking For

The successful candidate will be someone who can take ownership of the operational running of the practice while working collaboratively with the practice management team, GP Partners and clinical teams. You will be confident identifying what needs to be improved, engaging staff in change and following through to ensure improvements are embedded. You will combine strong organisational and people-management skills with a practical understanding of the pressures and priorities within primary care.

Pay: £18.00-£20.00 per hour
