Full job description

About the Role

Applied Mechanical Services Limited is looking for an experienced and highly organised Senior Administrator to join our busy building services team. The successful candidate will have previous experience working within hard and/or soft facilities/building services and be confident managing a fast-paced workload involving engineers, subcontractors and clients. Experience using CRM / Joblogic is essential, with strong knowledge of Joblogic being highly desirable.

Key Responsibilities

· Accepting and logging new jobs accurately onto the CRM system

· Reviewing job requirements and allocating works to the appropriate engineers and subcontractors

· Managing engineers’ diaries and coordinating daily workloads

· Monitoring jobs from initial instruction through to completion

· Liaising with engineers and subcontractors to obtain updates and ensure works are completed within required timescales

· Providing regular job updates to clients

· Dealing with clients professionally via telephone and email on a daily basis

· Responding promptly to client queries and service requests

· Updating CRM / Joblogic records to ensure information is accurate and up to date

· Assisting with quotations, job documentation and completion paperwork

· Prioritising urgent and reactive works

· Supporting the wider operational and management team

· Maintaining a consistently high standard of customer service

About You

· Previous administration or coordination experience within hard and/or soft building services, facilities management, maintenance or a similar environment

· Strong experience using CRM / Joblogic

· Strong Joblogic experience is highly desirable

· Exceptional organisational and time-management skills

· Experience coordinating engineers and/or subcontractors

· Excellent written and verbal communication skills

· Strong customer service skills and confidence dealing directly with clients

· The ability to prioritise multiple jobs and changing demands

· Excellent attention to detail

· A proactive, professional and dependable approach

· The ability to remain calm and organised within a busy service environment

What We Offer

· Starting salary of £26,500–£27,500 per annum

· Monday–Friday working hours – 8:00am–4:30pm

· 25 days’ annual holiday plus bank holidays

· Paid day off for your birthday

· Permanent, full-time position
