Job overview

The Medicines Management Administrator is a vital role that ensures the efficient management of medicines and medical equipment across all HUC operational bases. This includes maintaining accurate stock levels, coordinating the secure and timely distribution of medicines, and upholding safety standards in compliance with regulatory requirements. The role contributes to the seamless operation of healthcare services by ensuring that clinicians and healthcare staff have access to the necessary medications and equipment to deliver high-quality patient care.

The administrator works collaboratively with the Medicines Manager, suppliers, and other stakeholders to identify areas for improvement, implement cost-effective solutions, and reduce medication wastage. This role is instrumental in safeguarding the integrity of medicines management processes, promoting operational efficiency, and supporting the delivery of a responsive and reliable healthcare service. Additionally, the administrator plays a key role in training and supporting staff to adhere to medicines management protocols, fostering a culture of compliance and excellence across the organisation.

Main duties of the job

Maintain medicine, equipment and consumable stock levels across HUC bases through regular checks, ensuring availability and minimising waste.

Coordinate the safe and timely distribution of medicines, equipment and consumables, maintaining accurate records and secure storage arrangements.

Review and validate prescriptions, resolve discrepancies with clinicians, and ensure medicines management activities comply with legislative, regulatory and CQC requirements.

Produce medicines management reports, monitor trends, support audits, and implement actions that improve compliance and operational performance.

Identify and deliver improvements to medicines management and stock control processes to increase efficiency, reduce costs and enhance service delivery.

Support staff through training, policy updates and ongoing guidance, while maintaining personal learning and development in medicines management.

Build effective relationships with suppliers and stakeholders, report incidents and concerns, and ensure compliance with HUC policies, including infection control, data protection, health and safety.

Qualifications and Skills

Essential criteria

- Educated to GCSE level with English and Maths.
- Proven experience in process and stock management, ideally within a healthcare or similar environment.
- Effective written and verbal communication skills, with the ability to convey information clearly and professionally.
- Strong proficiency in Microsoft Office applications, particularly Excel, with the ability to create and analyse reports.
- Experience working collaboratively within a multi-disciplinary team to achieve shared goals.
- High attention to detail, ensuring accuracy in all aspects of work.
- Strong organisational and time-management skills, with the ability to manage multiple tasks and deadlines effectively.
- Ability to work independently and take initiative to identify and solve problems.
- Familiarity with standard operating procedures and policies related to medicines management.

Desirable criteria

- Previous experience working with medications and medical consumables, either in a Pharmacy or healthcare setting
- Knowledge of clinical governance and safety issues related to medicines, including safe storage and handling.
- Awareness of Care Quality Commission (CQC) requirements and relevant legislation.
- Understanding of government initiatives related to Out of Hours and urgent healthcare services.
- Experience with inventory management systems or similar software.
- Awareness of risk management and quality improvement principles in a healthcare setting.
