Full job description

Subcontract Coordinator

Location: Ossett, West Yorkshire

Hartwell Manufacturing is a family-run engineering business with nearly 50 years of experience delivering high-quality acoustic enclosures and heavy steel fabrication projects. From our Ossett headquarters, we support clients in the power, data centre and industrial sectors with engineered solutions built on precision, collaboration and reliability. The culture is hands-on, team-focused and proud of the work we produce.

As demand continues to increase, so does the volume of specialist subcontract work required alongside our core manufacturing operations. We are therefore looking for an organised and proactive Subcontract Coordinator to manage and coordinate an increasing number of external subcontractors supporting our projects.

This is a key coordination role, ensuring subcontracted work is planned effectively, scheduled at the right time and completed in line with project requirements. You will work closely with Production, Projects, Engineering and Procurement, while acting as the main day-to-day contact for external subcontractors.

As projects become larger and more complex, there is an increasing requirement for fabrication work alongside our core enclosure manufacturing, creating a growing need to coordinate external subcontract support effectively.

The Role

Key responsibilities will include:

Coordinating and scheduling subcontractors across multiple live projects.
Planning subcontract activity in line with production schedules and project programmes.
Liaising with Production, Projects, Engineering and Procurement to understand upcoming requirements.
Maintaining clear visibility of which subcontractors are working on each project, what work is being completed and expected completion dates.
Ensuring subcontractors receive the correct drawings, specifications and project information ahead of starting work.
Monitoring progress against agreed timescales and proactively chasing outstanding work.
Identifying potential delays, clashes or capacity issues and escalating these early.
Coordinating site access and working arrangements to minimise disruption to Hartwell’s own manufacturing operations.
Keeping accurate records of subcontract activity and providing clear updates to internal stakeholders.
Building effective working relationships with external contractors and maintaining clear, professional communication.
Supporting the wider business as the volume of subcontracted work continues to increase.

About You

We are looking for someone who is highly organised, comfortable managing multiple priorities and confident dealing with both internal teams and external contractors.

You will ideally have:

Experience in a coordination, planning, project support, production support or subcontractor management role.
Previous experience within manufacturing, engineering, fabrication, construction or a similar technical environment.
Strong organisational and scheduling skills.
The ability to manage several live requirements at the same time.
Confidence communicating with contractors, suppliers and colleagues across different departments.
A proactive approach and the ability to identify potential issues before they affect delivery.
Good attention to detail and accurate administrative skills.
Strong IT skills and the ability to maintain clear records and schedules.
A practical understanding of how work moves through a manufacturing or project environment.

You do not need to be a technical specialist or a commercial buyer. The key requirement is the ability to coordinate people, workloads and information effectively, ensuring subcontracted work happens when it is supposed to.
