The Company

White & Co Solicitors is a specialist law firm based in Southend-on-Sea, Essex, established in 2003. The firm focuses on family law and private client law, providing legal advice and representation to clients across Essex.

The practice is led by a team of experienced solicitors with specialist expertise in family and children's law. Their approach is centred on providing clear legal advice, practical support and professional representation, particularly in sensitive and complex family matters.

Job Overview

We are seeking an organised and proactive Administrative Assistant to support our team with daily office operations. The ideal candidate will possess excellent communication skills, strong organisational abilities, and proficiency in various computer applications. This role offers an opportunity to contribute to a dynamic work environment where attention to detail and efficiency are valued. The position is suitable for individuals with prior administrative experience.

Responsibilities

Manage calls with professionalism, ensuring excellent phone etiquette.
Organise and maintain files, records, and documentation accurately and efficiently.
Perform data entry tasks.
Assist with scheduling appointments, meetings, and calendar management for team members.
Prepare correspondence, reports, and presentations with attention to detail.
Support other clerical duties to ensure smooth office operations.
Maintain office supplies inventory and organise procurement when necessary.
Handle mail distribution and manage incoming/outgoing correspondence.
Audio typing as and when required.
Greeting clients and visitors in a professional and friendly manner.
Managing the reception area.
Filing, scanning, photocopying and maintaining electronic and paper records.
Providing general administrative support to solicitors and other members of the team.
Undertaking other office duties as required to support the smooth operation of the firm.

Qualifications

Office experience or administrative background is preferred.
Excellent organisational skills with the ability to prioritise tasks effectively.
Typing with accuracy and speed.
Good verbal and written communication skills.
Ability to work independently as well as part of a team in a fast-paced environment.
Attention to detail and confidentiality in handling sensitive information.

Hours

The hours will be 9.30am to 2.30pm Monday to Friday although some flexibility may be possible.

Pay: £12.71 per hour
