Full job description

At Mantracom, we help businesses stay connected and save money through business mobiles, broadband, VoIP, energy, vehicle tracking and more.

We're a growing, independent business that prides itself on delivering exceptional customer service and building long-term relationships with our customers. As we continue to grow, we're looking for an organised, proactive Operations Coordinator to become the backbone of our day-to-day operations.

The Role

This isn't just another admin job.

You'll be responsible for keeping the business running smoothly, ensuring our customers receive an excellent experience from the moment they place an order through to ongoing support.

Your role will allow our Directors and Account Managers to spend more time doing what they do best—winning new business and looking after customers—while you ensure everything behind the scenes runs like clockwork.

No two days will be the same, and you'll have the opportunity to make a genuine impact on how the business operates.

Key Responsibilities

Customer Service

Answer inbound calls and customer emails.
Resolve customer enquiries
Liaise with suppliers to resolve faults and service issues.
Keep customers informed throughout their journey.
Deliver an outstanding customer experience.

Sales Processing

Process new customer orders accurately.
Submit orders to suppliers.
Manage mobile number ports and service provisioning.
Monitor orders through to completion.
Maintain accurate CRM records.
Prepare customer documentation.

Finance & Bookkeeping

Raise customer invoices.
Process supplier invoices.
Reconcile supplier billing.
Support month-end bookkeeping.
Assist with credit control.
Check commission payments.

What We're Looking For:

We're looking for someone who enjoys taking ownership and making things happen.

You'll probably have experience in administration, operations, customer service or office management within a busy business environment.

You'll also have:

Excellent organisational skills.
Outstanding attention to detail.
A proactive attitude.
Strong communication skills.
The ability to prioritise multiple tasks.
Confidence using Microsoft 365.
Experience with CRM systems.
A willingness to learn new systems and processes.

Experience using Sage or bookkeeping software would be advantageous but isn't essential.

Within your first six months you will:

Be confidently managing our day-to-day customer operations.
Process orders accurately and efficiently.
Help reduce administration for the Directors and Account Managers.
Deliver excellent customer service.
Identify opportunities to improve the way we work.
Become a trusted member of the team who keeps everything running smoothly.
