Salary: £28,500 per annum
Hours: 37.5 hours per week
Working Pattern: Wednesday–Sunday, 8:30am–4:30pm
Location: Hybrid / Remote (attendance at meetings and operational sites as required)
Reports to: Clinical Operations Manager / Executive Director

About the Role

The Clinical Administration and Coordination Officer plays a central role in supporting the operational and clinical management of Mega Care's Homefirst Service. The postholder ensures that information flows efficiently between operational teams, NHS partners and Local Authority colleagues, helping to maintain a safe, responsive and high-performing service. The role combines high-quality administration with operational coordination and requires the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Provide comprehensive administrative support; prepare reports, meeting packs and presentations; maintain accurate records; monitor referrals and activity; update CareLineLive records; produce operational reports; support audits and quality assurance; coordinate actions arising from meetings; attend system meetings with NHS and Local Authority partners, take minutes and ensure actions are completed; provide day-to-day support to Clinical Managers and assist with service mobilisation. This role specifically excludes rota creation.

Working Relationships

Develop effective relationships with Clinical Managers, Coordinators, Care Staff, Commissioners, NHS Discharge Teams, Local Authority colleagues and partner organisations. Represent Mega Care professionally during meetings and collaborative working.

Person Specification

Essential: Outstanding organisational ability, excellent written and verbal communication, advanced Microsoft Office skills, ability to prioritise competing demands, discretion, professionalism and attention to detail. Desirable: Experience in health or social care, Homefirst or Discharge to Assess pathways, CareLineLive or similar systems, minute taking and performance reporting.

Act professionally at all times, maintain confidentiality, comply with GDPR, CQC regulations, organisational policies and safeguarding procedures. Support continuous improvement and participate in supervision, training and performance reviews.
