Summary

The Maintenance Administrator plays a key role in supporting the smooth running of the Maintenance Department. This position provides essential administrative, contract and customer support to ensure our service delivery, renewals, and operational commitments are met consistently and professionally. The role requires strong organisation, accuracy, and confidence in managing multiple priorities within a fast‑paced environment.

Key Responsibilities

Contract Administration — Prepare, issue and manage maintenance contract renewals, warranty upgrades (fully comp, standard and one off service), and associated documentation. Ensure all records are accurate, up to date, and aligned with customer requirements.
Inbox Management — Monitor and manage the maintenance inbox, ensuring timely responses, correct allocation of queries, and professional communication with customers and internal teams.
Telephone Cover — Provide first‑line telephone support for maintenance enquiries, logging calls, directing queries appropriately, and maintaining excellent customer service standards.
Compliance — Access requests, RAMS distribution and any compliance‑related documentation required for engineer attendance.
Meeting & Diary Management — Schedule internal and external meetings, manage diaries for the maintenance team, and coordinate engineer availability where required.
Warranty Administration — Support warranty upgrades, warranty tracking, and customer communication relating to warranty status and options.
Portal CRM Management — Upload documents, invoices, and reports to customer portals and in house CRM systems ensuring accuracy and timely completion.
Booking in Engineer visits.
General Administrative Support — Maintain records, update spreadsheets, support reporting, and assist with any operational tasks required to keep the department running efficiently.

Strong organisational skills with the ability to manage multiple tasks simultaneously
Confident communicator with a friendly, professional manner
High attention to detail and accuracy
Proactive approach to problem‑solving and workload management
Comfortable working in a fast‑paced, service‑driven environment
Competent with Microsoft Office and general administrative systems

Full Time (Monday–Friday, 9:00–17:30)

Contract – Permanent ( probationary period 3 months)

Salary - £24,000–£26,000 Depending on experience
