## Job Summary

The Office Administrator will play a key role in ensuring the smooth and efficient operation of our training centre. Working closely with the Centre Manager/Director, the successful candidate will provide dedicated administrative and personal assistant support, including managing schedules, coordinating meetings, handling correspondence and assisting with day-to-day priorities.

Alongside this, they will carry out a range of administrative duties to support the effective delivery of our training programmes. This is an excellent opportunity for a highly organised, detail-oriented and proactive individual who can manage multiple responsibilities and thrive in a fast-paced environment.

Key Responsibilities:

Administrative Support:
Provide general administrative support, including answering phone calls, responding to emails, and handling inquiries.
Manage office supplies and inventory, ensuring that the office is well-stocked and equipment is maintained.
Coordinate and schedule training sessions, meetings, and appointments.
Customer Service:
Greet and assist visitors, trainees, and clients in a professional and friendly manner.
Handle registration processes for trainees, including processing applications, maintaining records, and ensuring compliance with company and industry regulations.
Data Management:
Maintain accurate and up-to-date records of trainees, instructors, and training sessions.
Input data into company systems and ensure all information is kept confidential and secure.
Financial Tasks:
Assist with invoicing, processing payments, and managing petty cash.
Coordinate with the finance department to track expenses and reconcile accounts.
Communication:
Serve as the primary point of contact for internal and external communications related to office administration.
Liaise with suppliers, vendors, and contractors to support the needs of the office.
Compliance and Documentation:
Ensure that all documentation related to training and certification is accurately filed and accessible.
Assist in maintaining compliance with industry regulations and company policies.

Experiance and Skills:

Previous experience in an administrative or office management role is highly desirable.
Experience within the construction, training, or machinery industry is a plus.
Strong organisational skills with the ability to manage multiple tasks simultaneously.
Excellent verbal and written communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with CRM or ERP systems.
High attention to detail and a commitment to accuracy.
Ability to work independently and as part of a team.
Customer-focused with a positive, can-do attitude.
