Full job description

Job Summary

To provide comprehensive administrative support to the Skin Cancer Service, ensuring the efficient coordination of patient appointments, waiting lists, administrative processes and communication throughout the patient pathway.

The Cancer Administrator will support the delivery of a high-quality, patient-focused service by managing daily administrative tasks, maintaining accurate patient records, coordinating appointments, responding to patient and clinician enquiries, and supporting the wider Cancer Team to ensure patients receive timely care.

Key Duties and Responsibilities

Administrative Support

Provide comprehensive administrative support to the Skin Cancer Service.
Manage daily worklists and administrative tasks, ensuring all actions are completed within agreed timescales.
Monitor and respond to shared team email inboxes, prioritising urgent enquiries appropriately.
Handle incoming telephone calls from patients, GP practices, hospitals and other healthcare professionals in a professional and courteous manner.
Process correspondence and ensure patient records are updated accurately across all clinical systems.
Maintain accurate electronic patient records in accordance with Trust and Information Governance policies.
To have a full understanding of the NICE guidance on 14/31/62/28-day pathways for skin cancer patients.

Waiting List Management

Manage and maintain Skin Cancer waiting lists.
Identify available appointment capacity and proactively fill cancelled clinic slots.
Support effective clinic utilisation by contacting patients to offer earlier appointments where appropriate.
Process patient recalls in line with clinical guidance.
Monitor patients awaiting appointments and escalate any concerns to the Cancer Services Manager.

Patient Administration

Process System Connect referrals and associated administrative work.
Update the UHS Tracker and other departmental databases accurately and in a timely manner.
Record and manage Two Week Wait (2WW) Did Not Attend (DNA) outcomes in accordance with local policy.
Ensure patient demographic and pathway information remains accurate across all systems.
Liaise with internal departments and external healthcare providers to facilitate seamless patient care.

Communication

Act as a first point of contact for administrative enquiries relating to the Skin Cancer Service.
Communicate professionally with consultants, clinical nurse specialists, GP practices, hospitals and patients.
Escalate issues affecting patient care or service delivery to the appropriate manager.
Maintain confidentiality and professionalism at all times.

Service Support

Assist the wider Cancer Team with administrative duties during periods of annual leave or sickness to maintain service continuity.
Support service improvement initiatives by identifying opportunities to improve administrative processes.
Participate in team meetings and mandatory training.

Key Skills and Knowledge

The post holder will be expected to:

Demonstrate excellent organisational and prioritisation skills.
Work accurately under pressure whilst managing competing priorities.
Communicate effectively with patients and multidisciplinary teams.
Maintain high levels of confidentiality.
Have excellent IT skills, including Microsoft Office and patient administration systems.
Work independently whilst contributing positively to the wider team.
Deliver a high standard of customer service at all times.

Person Requirements

Knowledge of skin cancer patient pathway, including a good understanding of NHS cancer waiting time standards (14-, 28-, 31- and 62-day pathways).
Understanding of the diagnosis and treatment pathways for confirmed cancer patients
Knowledge of NHS administrative processes, patient confidentiality, and Information Governance.
Experience working with patient administration systems and maintaining accurate electronic patient records.
Ability to prioritise a busy workload and work to strict deadlines while maintaining accuracy.
Strong organisational, communication, and interpersonal skills.
Ability to work independently and collaboratively
Excellent attention to detail and problem-solving skills.

Commitment to continuous learning and service improvement.

Pay: £24,960.00 per year
