Receptionist / Office Support – Leatherhead

Pay: £12.71–£13.50 per hour (depending on experience)
Location: Leatherhead
Job Type: Full-time, Permanent
Working Hours: 40 hours per week

About Us

GraftinGardeners Ltd is a small family run tree surgery and landscaping company based in Leatherhead. We started in 2009 and have grown steadily since then. We now run around 7 tree teams, plus landscaping and gardening crews, working across London and the surrounding areas.

We are a down to earth business where everyone knows each other. The office is based right at our busy yard, so you are close to the action and the people doing the work.

The Role

You will join a small and friendly office team helping to keep things running smoothly behind the scenes. Some days are steady, while others can be full on with calls, emails and bookings to juggle, so we are looking for someone who is calm under pressure and good with people.

The role mainly involves answering calls, WhatsApps, messages and emails, booking work in, and following up with clients and quotes. You will need to be confident on the phone, able to stay organised when things get busy, and happy working in a small team where everyone supports each other.

You do not need advanced IT skills, and you do not need to have worked in arboriculture before — we'll train you on the job, including our CRM system. Since you'll be picking up the CRM at the same time, it does help if you already have a basic understanding of tree surgery and landscaping — for example, knowing what terms like felling, pruning, or stump grinding mean — so we're not explaining industry basics and the CRM together. You should be confident using email and Microsoft Office.

Key Responsibilities

Be the first friendly point of contact for calls, emails and the occasional visitor, usually someone collecting logs
Take down client details and what they need, and enter them into our CRM system
Book appointments for estimators and teams
Chase up leads and estimates to turn them into confirmed jobs
Answer email and WhatsApp queries and get back to new leads
Help the rest of the office by passing on messages or redirecting calls when needed
Keep customer records and bookings up to date within our CRM system

What We're Looking For

Confident and polite on the phone, with clear spoken English
Able to handle busy periods without getting flustered
Reliable, well organised, and happy to help wherever needed
Confident using email and Microsoft Office (Word, Outlook, Excel) — this is essential, as most of the day-to-day involves email and computer-based systems
Comfortable typing and willing to learn our CRM system (full training given)
Previous experience in a busy customer-facing or admin role is a strong plus — e.g. reception, call handling, scheduling, or office support in any industry
A basic understanding of tree surgery and landscaping (e.g. familiarity with terms like felling, pruning, or stump grinding) is preferred — you don't need hands-on experience, but it means we can focus your training on our CRM system and processes rather than explaining the trade from scratch
Prior arboriculture or trade/field-service experience (construction, landscaping, plumbing, electrical, home services, logistics) is a bonus, as it means you'll already understand how bookings, quotes and site teams work
Must be able to get to our Leatherhead yard daily

Experience:

Customer service, admin or reception: 1 year (preferred)
Basic knowledge of tree surgery/landscaping terminology: (preferred)
Arboriculture or trade/field-service background: (preferred)
