Full job description

Salary: £28000 - £30000 per annum, depending on experience
Hours: 35 hours per week
Contract: maternity cover, expected to last for up to 12 months
Expected start date: Early September 2026

Watermoor House is a charitable residential care home in Cirencester, providing residential and dementia care in a warm, welcoming environment.

We are looking for an organised and approachable HR & Office Administrator to join our team on a fixed-term basis to provide maternity cover.

About the role

This is a varied, hands-on administrative role supporting our HR, recruitment, workforce compliance, training and payroll processes, alongside the wider administration of the Home.

Reporting to the Business & Operations Manager, you will work closely with the Home Manager, departmental managers and external professional advisers. You will be responsible for maintaining accurate and confidential records, coordinating key employment processes and helping ensure that important administrative tasks are completed promptly and consistently.

Previous experience of HR administration is essential, including practical involvement in recruitment, onboarding, employee records and routine employment processes.

Experience of payroll or workforce compliance, particularly within care, healthcare or another regulated environment, would be advantageous.

Key responsibilities

Coordinating recruitment activities, including advertising vacancies, arranging interviews and communicating with candidates.
Preparing offer letters, contracts, starter documentation and onboarding paperwork.
Completing and recording pre-employment checks, including references, Right to Work, DBS, qualification and health checks.
Maintaining accurate and up-to-date personnel records across our workforce systems.
Monitoring routine workforce compliance requirements and renewal dates.
Coordinating probationary reviews and maintaining the associated documentation.
Preparing HR correspondence and arranging and minuting employee meetings where required.
Supporting absence-management processes and maintaining accurate sickness and annual-leave records.
Coordinating occupational health referrals and communication with external HR advisers.
Maintaining the Home’s training matrix and monitoring mandatory and role-specific training requirements.
Arranging training, maintaining certificates and producing compliance reports.
Supporting staff induction, apprenticeships and professional-development activities.
Preparing payroll information, including timesheets, absence records, overtime and payroll adjustments.
Supporting administration of the rota and time-and-attendance systems, including investigating clocking anomalies.
Maintaining effective office procedures, filing systems and document-retention arrangements.
Supporting resident administration and admissions paperwork.
Preparing reports, correspondence and management information.
Supporting policy administration, information governance and other administrative projects.

About you

You will need:

Experience in an administrative role involving responsibility for accurate records and documentation.
Excellent organisational skills and attention to detail.
The ability to manage competing priorities and meet deadlines.
Strong written and verbal communication skills.
Confidence handling confidential and sensitive information appropriately.
Competence using Microsoft 365, including Outlook, Word, Excel and Teams.
A professional, helpful and collaborative approach.
GCSE English and Mathematics at Grade C/4 or above, or equivalent.
The ability to work independently and use initiative appropriately.

Experience of HR administration, recruitment, payroll support, training coordination or working within a care, healthcare, charity or other regulated environment would be advantageous. A CIPD or business administration qualification would also be welcomed but is not essential.
