Full job description

Based in Twickenham, H&L is a third-generation family business with over 70 years of heritage in the automotive industry. We work alongside some of the world’s most prestigious vehicle brands, and we pride ourselves on a reputation built on excellence and a friendly, supportive team culture.

We are currently looking for an organised, proactive and customer-focused Office Administrator to lead the day-to-day administration and reception function at our busy brand-new Wheel Refurbishment division in Esher.

This is a varied role that combines customer service, administration, operational coordination and team support. You'll be the first point of contact for our customers while ensuring the office runs efficiently and supports the workshop and logistics teams.

This role is full-time between Mon–Fri 8.00am – 5pm and benefit from:

Key Responsibilities

Delivering a warm, professional welcome to every customer and visitor.
Managing the reception area and provide an exceptional customer experience.
Answering incoming calls, respond to enquiries and book customer appointments.
Raising invoices, process payments and ensure customers receive invoices and receipts before leaving.
Coordinating with the workshop and management team to keep customers informed throughout their repair journey.
Managing and prioritising vehicle collections and deliveries with the Logistics team.
Monitoring the enquiries inbox and respond to booking requests.
Arranging estimates and rebook customers who miss appointments.
Updating customer information and maintain accurate records within our management system.
Handling incoming post and deliveries, distributing documentation to the relevant departments.
Processing cheque payments and petty cash in accordance with company procedures.
Producing daily and weekly operational reports, including cash reconciliation, referral reports and no-show reports.
Ensuring daily takings balance accurately before close of business.
Supporting managers with general office administration and operational tasks.
Reviewing CCTV where required to assist with vehicle management.

About You

Previous experience in an Office Administrator, Reception Manager or Senior Administrator role.
Excellent customer service and communication skills.
Strong organisational skills with the ability to manage multiple priorities.
Confident using Microsoft Office and computer-based management systems.
Excellent attention to detail and accuracy.
Comfortable handling payments, cash reconciliation and reporting.
Able to work independently while supporting a wider team.
A positive, professional and friendly attitude.
Experience within the automotive industry would be an advantage but is not essential.
Full, clean driving licence is essential.
