Overview

We are seeking a proactive and organised Office Assistant to support our administrative team. This paid position offers an excellent opportunity for individuals with office experience and strong computer skills to develop their career within a professional environment. The successful candidate will play a vital role in ensuring the smooth operation of daily office functions, providing essential support across various departments.

Duties

Answering and directing phone calls with professional etiquette
Managing incoming and outgoing correspondence, including emails and postal mail
Data entry and maintaining accurate records using Microsoft Office and Google Workspace applications
Organising files, documents, and office supplies to ensure efficient workflow
Assisting with scheduling appointments and meetings for staff members
Preparing reports, presentations, and other documentation as required
Supporting invoicing and bookkeeping tasks using QuickBooks and Excel
Providing general administrative support to team members as needed
Helping where needed

Skills

Proven office experience with a solid understanding of administrative procedures
Strong computer literacy, including proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar)
Experience with data entry and maintaining organised filing systems
Excellent organisational skills with the ability to prioritise tasks effectively
Good typing speed and accuracy for document preparation and data input
Knowledge of QuickBooks or similar accounting software is desirable
Strong phone etiquette and communication skills to interact professionally with clients and colleagues
Clerical experience demonstrating attention to detail and reliability
