Please note that this position is part time (3 days per week). The advertised salary is pro rata.

Wrexham Business Improvement District (BID) is a business-led organisation dedicated to improving the commercial environment and experience of Wrexham town centre. Working in partnership with local businesses, and a wide range of stakeholders, Wrexham BID delivers projects and services that drive footfall, enhance the visitor experience, and support the vitality of one of Wales's most exciting and rapidly growing city centres.

Role Overview

The BID Administrator plays a vital supporting role in the effective day-to-day running of Wrexham BID. Reporting directly to the BID Manager, you will be responsible for a broad range of administrative functions that keep the organisation running smoothly and efficiently. This is a varied and hands-on role suited to someone who is highly organised, proactive, and comfortable working in a fast-paced environment where no two days are the same.

Key Responsibilities

General Administration

Provide comprehensive administrative support to the BID Manager and wider team
Manage the BID's general inbox, directing enquiries to the appropriate team member and responding to routine correspondence in a timely and professional manner
Assist with the creation and scheduling of content for the BID's social media channels and website
Maintain and organise electronic and physical filing systems, ensuring records are accurate, up to date, and easily accessible
Order and manage office supplies and stationery, monitoring stock levels and processing purchase orders

Meetings & Events Support

Coordinate and schedule meetings on behalf of the BID Manager, including board meetings, stakeholder events, and working group sessions
Prepare agendas, collate papers, and distribute documents in advance of meetings
Attend meetings as required, taking accurate minutes and circulating action points in a timely manner
Assist with the logistics and administration of BID events, promotions, and campaigns

Finance Administration

Process purchase invoices and expenses, coding transactions accurately and submitting for approval
Liaise with suppliers and contractors regarding invoicing, payments, and queries
Assist with the preparation of financial reports and management information as required

Stakeholder & Member Liaison

Act as a first point of contact for BID levy payers and member businesses, handling enquiries professionally and escalating complex matters to the BID Manager
Maintain and update the BID's database of member businesses, ensuring contact information and levy records are accurate
Support the distribution of BID newsletters, bulletins, and communications to the business community
Build positive relationships with levy payers, partners, and key stakeholders

Communications & Social Media Support

Assist with the creation and scheduling of content for the BID's social media channels and website
Support the production of marketing materials, e-newsletters, and member communications
Monitor social media channels and flag relevant content or enquiries to the BID Manager

Project & Operational Support

Assist the BID Manager in the delivery of BID projects and initiatives as directed
Research and compile information to support project planning and reporting
Liaise with contractors, suppliers, and external partners to coordinate activities and ensure smooth delivery
Maintain the BID's project trackers, action logs, and operational records

Person Specification

Essential

Proven experience in an administrative or office support role
Excellent written and verbal communication skills
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Strong organisational skills with the ability to prioritise a varied workload
High attention to detail and accuracy
Confident dealing with a range of stakeholders in person, by phone, and in writing
Self-motivated and able to work independently as well as part of a small team
Discretion and ability to handle confidential information appropriately

Desirable

Experience working within a BID, local authority, or city centre management environment
Knowledge of Wrexham city centre and its business community
Experience supporting financial administration and invoice processing
Familiarity with social media platforms and basic content creation
Experience with CRM or database management software
Welsh language skills (spoken and/or written)

Additional Information

Please note that this position is part time (3 days per week). The advertised salary is pro rata. The contract for this position is four years.

The post holder may be asked to carry out other duties commensurate with the level of the role as directed by the BID Manager. The BID Administrator will be expected to occasionally work outside normal business hours in support of BID events and activities. Reasonable notice will be given in such circumstances.

Pay: £27,000.00 per year
