Job Summary

We are a specialist private jet catering provider seeking a highly organized Operation Coordinator to join our small friendly team In this vital role,. You will oversee daily operational activities, coordinate team efforts, and ensure smooth administrative processes across departments, involve dealing directly with customers in a polite and friendly manne, and work under pressure at times. This position offers an exciting opportunity to develop your leadership capabilities while contributing to a vibrant, fast-paced industry.

Duties

Manage and supervise daily office operations, ensuring all tasks are completed efficiently and accurately process customer orders
Coordinate schedules, meetings, and appointments for team members and management
Oversee human resources functions such as onboarding new employees, maintaining personnel records, and supporting staff development initiatives
Utilize Xero accounting software to handle invoicing, expense tracking, and
Supervise clerical tasks including data entry, , correspondence, and document management
Maintain excellent phone etiquette by answering inquiries professionally and directing calls appropriately
Support team management efforts by monitoring workloads, providing guidance, and fostering a collaborative work environment

Skills

Proven experience with office administration, clerical duties, or related roles
Strong organizational skills with the ability to multitask effectively in a fast-paced setting
Excellent communication skills—both verbal and written—to liaise confidently with team members and external contacts
Demonstrated supervisory experience with the ability to lead and motivate teams
Proficiency in QuickBooks accounting software for financial management tasks
Knowledge of human resources practices including onboarding and employee relations
Exceptional phone etiquette with a friendly yet professional demeanor
