Job Description

We are seeking a highly organised, professional and proactive Executive Assistant & Office Support professional to join our London office in Chancery Lane.

This is a varied role combining executive support, office coordination and front-of-house responsibilities, ensuring our senior leaders are effectively supported while maintaining a professional, welcoming and efficient office environment.

The successful candidate will be a confident communicator with excellent organisational skills, capable of managing multiple priorities while delivering exceptional service to stakeholders at all levels.

Key Responsibilities

Executive Assistant Support:

Provide comprehensive executive assistant support to senior leaders.
Manage complex diaries, scheduling, travel arrangements and correspondence.
Prepare presentations, reports, meeting packs and other business documentation.
Coordinate meetings, including agenda preparation, minute taking and action tracking.
Facilitate effective communication and collaboration across leadership teams.
Anticipate executive needs and proactively resolve challenges.

Office Management:

Support the day-to-day running of the office, ensuring a safe, organised and productive workplace.
Coordinate office supplies, equipment and meeting room readiness.
Liaise with facilities teams, building management and external vendors to resolve issues efficiently.
Assist with health and safety processes, office compliance activities and workplace standards.
Identify opportunities to improve office systems, processes and employee experience.

Reception & Front-of-House:

Act as the first point of contact for visitors, clients and business partners.
Deliver a professional, friendly and welcoming reception experience.
Manage incoming calls, post and deliveries.
Maintain reception and communal areas to a high professional standard.
Support onboarding activities and assist new starters as required.

Essential Skills & Experience

Previous experience in an Executive Assistant, Office Manager, Administrative Assistant or similar support role.
Strong proficiency in Microsoft 365, including Outlook, Word, Excel, PowerPoint and Teams.
Excellent organisational skills with strong attention to detail.
Ability to manage competing priorities and work effectively under pressure.
Strong written and verbal communication skills.
Professional and confident stakeholder management skills.
Excellent problem-solving abilities and a proactive approach.

Desirable

Experience in office facilities coordination and vendor management.
Knowledge of health and safety requirements within an office environment.
Experience supporting senior leaders or executive teams.
