Full job description

HR Administration - Required for our Bedford office.

Salary: £14.50 Per Hour (Part Time)

Job Purpose:

To support the smooth running of care services by managing administrative tasks, ensuring accurate records, and maintaining compliance with CQC guidelines, safeguarding, and employment regulations.

Key Responsibilities

Maintain staff and service user records, and incident reports
Work with managers to ensure all documentation is audit-ready for CQC inspections
Upload and maintain records on systems like BrightHR / internal trackers
Maintain employee files (contracts, ID, references, training records)
Support onboarding (DBS checks, right to work, induction documents)
Monitor training compliance (mandatory courses, refreshers)
Assist with supervision and probation documentation
Support HR with Onboarding documentation and Interview process
Collect and verify timesheets
Check discrepancies with Timesheets and Rota
Assist accounts teams with submitting accurate data to payroll
Supporting with exit interviews and Sickness Reviews, Performance and Absence management
Able to plan and prioritise workload

Communication & Coordination

Handle emails, calls, and general enquiries
Coordinate meetings, supervisions, and training sessions

Safeguarding & Incident Support

Log incidents/accidents and maintain records
Support safeguarding reporting processes
Ensure proper documentation for investigations and audits

Key Skills Required

Strong attention to detail, organisation, and record-keeping
Confidentiality and GDPR awareness
Good communication skills
Ability to work under pressure in a fast-paced care environment
Strong working knowledge of HR Best practice and UK employment law
Need previous experience in managing a recruitment process, from role creation through to successful on board.
Need to have strong IT skills, be proficient in the MS Office Suite and preferably have experience using a candidate management system.

Experience

Experience in interviewing staff and seeking references.
Experience with HR/Payroll system software's.
Experience working in social care sector.
Has worked in a social care recruitment setting.
A desire to succeed and build a successful career.
Excellent presentation and communication skills
