Purpose of Role

We are looking for an experienced Senior Customer Services Representative to join our busy Helpdesk team in Denton. This is an excellent opportunity for a customer-focused professional with strong coordination and problem-solving skills to play a key role in supporting service delivery across a large and varied facilities management contract. The successful candidate will act as a senior point of contact within the Helpdesk, ensuring customer queries, maintenance requests and service issues are managed efficiently while supporting team performance and delivering an outstanding customer experience

Job Description

As a Senior Customer Services Representative, you will be responsible for coordinating and overseeing the day-to-day operation of the Helpdesk, ensuring all customer contacts, work requests and reactive maintenance issues are processed in line with contractual requirements and service level agreements. You will work closely with operational teams, engineers, subcontractors and customers to ensure work is allocated, monitored and completed efficiently. Experience of working within a Defence Service Centre environment would be advantageous.

Working within a fast-paced environment, you will provide leadership and support to colleagues, maintain accurate records within CAFM systems and help drive continuous improvement in customer service performance. Inspired by similar customer service roles across VINCI Facilities, this position requires excellent communication skills, attention to detail and a proactive approach to resolving issues.

Responsibilities

Act as a senior point of contact for customer enquiries received via telephone, email and service management systems.
Ensure reactive and planned maintenance requests are accurately logged, prioritised and progressed within agreed timescales.
Support, coach and guide Customer Services Representatives to maintain service excellence.
Monitor Helpdesk performance against KPIs and service level agreements.
Liaise with operational teams, engineers and subcontractors to coordinate service delivery.
Provide customers with regular updates and maintain strong stakeholder relationships.
Review outstanding work orders and drive activities to successful completion.
Escalate service issues appropriately and support incident resolution.
Maintain accurate records and reporting within CAFM and business systems.
Identify opportunities for process improvement and contribute to continuous service enhancement.

Essential Qualifications/Skills

Previous experience within a customer service, helpdesk or service centre environment.
Experience coordinating workloads and supporting team performance in a fast-paced operational setting.
Experience of working in a Defence Service Centre environment.
Excellent verbal and written communication skills.
Strong customer focus with the ability to build positive relationships at all levels.
High level of accuracy and attention to detail.
Confident user of Microsoft Office applications and CAFM systems.
Ability to prioritise workloads and manage multiple tasks effectively.
Calm, professional and solutions-focused approach when working under pressure.
Ability to obtain and maintain BPSS security clearance.
