Front of House & Patient Experience Coordinator

Your Beauty Doctor | Nottingham

Wednesday-Friday | 8:30am-5:30pm (27 hrs) + 1 Saturday per month

Start Date: September

Salary: Competitive (dependent on experience)

At Your Beauty Doctor, we're passionate about delivering exceptional patient care from the very first enquiry through to long-term treatment journeys.

We're a Dr-led, award-winning Medical Aesthetics Clinic known for our honest advice, outstanding patient experience and commitment to natural results. As our clinic continues to grow, we're looking for someone who wants to grow with us.

This isn't your typical receptionist role.

We're looking for someone who loves organisation, enjoys building long-term relationships with clients and thrives in a busy environment. Someone who naturally spots opportunities to improve things, takes ownership and enjoys being part of a close-knit team.

The Role

You'll be the first face our patients see and often the first voice they hear.

You'll ensure every patient receives a warm, professional experience while keeping the clinic running smoothly behind the scenes.

Alongside front of house responsibilities, you'll support patient communications, diary management, sales, administration and clinic operations, becoming a key member of the team.

What You'll Be Doing

Front of House

Welcoming patients into clinic
Creating a warm, luxury patient experience
Managing incoming calls and emails
Keeping reception and waiting areas immaculate
Supporting the smooth flow of the clinic throughout the day

Patient Care

Responding to patient enquiries via phone, email and our CRM system
Booking consultations and treatments
Following up enquiries and consultations
Supporting patients throughout their treatment journey
Answering treatment and aftercare questions (with clinician support where required)
Managing cancellations, deposits and diary changes

Diary & Clinic Management

Managing clinician diaries
Helping maximise clinic utilisation
Filling appointment gaps
Coordinating treatment timings
Monitoring upcoming clinics and capacity

Sales & Patient Journey

Converting enquiries into bookings
Supporting treatment recommendations
Introducing memberships and treatment plans where appropriate
Building long-term patient relationships
Helping improve patient retention

Administration

Updating patient records
Processing payments and deposits
Assisting with stock ordering
Supporting clinic systems and day-to-day administration

We're Looking For Someone Who Is:

Warm, friendly and genuinely enjoys looking after people
Interested in Beauty/Aesthetics
Highly organised with excellent attention to detail
Calm under pressure and able to juggle multiple priorities
Commercially aware and confident talking to patients
Proactive and able to use their own initiative
A natural problem solver
Comfortable learning new systems and technology
A confident communicator both in person and in writing
Passionate about delivering outstanding customer service

Experience

Experience within medical aesthetics, beauty, dentistry or healthcare is essential.

Experience in reception, administration, sales or customer service would also be highly beneficial.
