The Hestia Clinic is entering an exciting period of growth. Following the success of our award-winning flagship clinic, we are expanding into a second dedicated site for cosmetic surgery and advanced medical procedures, further establishing Hestia as a leading destination for aesthetic medicine and surgery. As our team and patient community continue to grow, we are seeking an exceptional Front of House Coordinator to join us. The Role
As our Front of House Coordinator, you will be responsible for ensuring every client receives a seamless, warm and highly personalised experience from the moment they enquire to the moment they leave the clinic.
You will become the face of Hestia, creating an atmosphere of calm professionalism whilst ensuring the smooth day-to-day running of the clinic.
Working alongside our Client Experience Manager, senior leadership team and clinical team, you will anticipate client needs, maintain impeccable presentation standards and ensure every detail reflects the Hestia brand.
Key Responsibilities Patient Experience
- Welcome every patient with warmth, professionalism and confidence.
- Learn patients' names and build genuine relationships.
- Offer refreshments and ensure every client feels comfortable.
- Prepare consultation rooms and reception areas to the highest standards.
- Escort patients throughout the clinic where appropriate.
- Ensure every patient leaves feeling valued and cared for.
Reception & Administration
- Manage incoming telephone calls and enquiries.
- Respond promptly to emails and online enquiries.
- Book consultations and treatments using Phorest.
- Process payments accurately.
- Explain membership options where appropriate.
- Maintain appointment diaries.
- Confirm appointments and manage waiting lists.
- Handle cancellations professionally.
- Maintain confidentiality at all times.
- Liaise with clinical team and update on any information requiredn throughout the day
Clinic Presentation
Take ownership of the clinic environment by ensuring:
- Reception is immaculate throughout the day.
- Retail displays remain perfectly presented.
- Brochures are replenished.
- Flowers, candles and refreshments are maintained.
- Music, lighting and scent create a calm luxury environment.
- Waiting areas are pristine.
- Consultation rooms are stocked at the end of each day
Attention to detail is everything.
Retail & Homecare
You will play an important role in supporting clients with their home skincare journey by:
- Recommending products following clinician advice.
- Explaining skincare routines confidently as prescribed by clinicians
- Packaging purchases beautifully.
- Promoting membership benefits.
- Supporting monthly retail initiatives.
Operational Duties
- Open and close the clinic.
- Prepare daily appointment lists.
- Monitor stock levels.
- Receive deliveries.
- Maintain retail inventory.
- Prepare welcome packs.
- Support events and launch evenings.
- Assist with treatment room turnaround when required.
- Ensure compliance with clinic policies.

Desired Experience
- Previous experience within luxury hospitality, private healthcare, premium retail, hotel concierge or aesthetics.
- Experience using booking systems such as Phorest is desirable but not essential.
- Excellent written and verbal communication.
- Confident using Google workspace and computer literate.
- Ability to multitask in a busy environment.

Pay: £24,000.00-£32,000.00 per year
