Full job description

Job Summary

Due to continued growth within the business, we have a full-time position for an Administration and Drafting Assistant at our busy office in Newport. With the opportunity for future progression within the business.

Primarily, you will assist with the day-to-day administration, including dealing with inbound/outbound calls, drafting and processing documentation accurately.

Working Hours: Monday to Friday, 8:30 am – 4:30 pm.

Duties

Book new business appointments, ensuring all information is accurately recorded.
Assist with drafting basic Wills and Lasting Powers of Attorney (LPA).
Input all new Will instructions, with a high level of accuracy.
Monitor and manage emails from central inboxes, ensuring timely responses and follow-ups.
Follow up with clients for draft approvals and the return of documentation.
Process signed documents efficiently and accurately.
Accurately set up Direct Debit Mandates.
Manage and respond to drafting amendments promptly.
Review and process all LPA applications to ensure they meet required standards prior to submission.
Chase clients when needed to ensure smooth business delivery.
Accurately process business documentation.
Professionally answer and manage incoming switchboard calls.
Handle clerical duties such as typing, copying, and scanning documents.

Requirements

Good knowledge of Microsoft Office.
Strong and effective communicator.
A high level of accuracy and attention to detail.
Excellent customer service skills.
Ability to work on own initiative.
Collaborative and highly organised.
Highly professional.
Ability to problem solve and deliver to deadlines.

Desirable

Willingness to study/ progress.
Previous admin experience 1-2 years.
