Job Summary

Job Title: Trainee Assistant Clerk

Location: East Bedlington Parish Council, 16 Station Street, Bedlington NE22 7JN

Hours of Work: 28 hours per week, increasing to 30 hours per week from April 2027.

Responsible To: Parish Clerk and Responsible Finance Officer (RFO)

Salary: SCP4 - £26,016 Pro Rata

Job Purpose

To provide administrative, financial and project support to the Parish Clerk and Responsible Finance Officer, assisting in the effective operation of East Bedlington Parish Council. The post holder will gain knowledge and practical experience across all aspects of local council administration and governance, with a structured development pathway and opportunity for progression to the role of Assistant Clerk.

Main Duties and Responsibilities

Administration

· Provide administrative support to the Parish Clerk, RFO and Members of the Parish Council.

· Prepare correspondence, reports, agendas and other documentation as required.

· Maintain accurate electronic and paper filing systems.

· Receive and respond appropriately to enquiries from residents, councillors and partner organisations.

· Assist with the organisation of meetings, events and community activities.

· Ensure records are maintained in accordance with Council policies and relevant legislation.

Financial Administration

· Assist with the maintenance and updating of financial records.

· Process invoices, payments and receipts under the supervision of the RFO.

· Support budget monitoring and financial reporting processes.

· Maintain accurate records and spreadsheets relating to Council finances.

Website and Communications

· Update and maintain the Parish Council website.

· Assist with managing and updating social media platforms.

· Produce content and communications to support Council initiatives and community engagement.

· Ensure information published by the Council is accurate and up to date.

Project Support

Support the development and delivery of Council projects and initiatives.
Assist with gathering information and preparing reports relating to projects.
Liaise with community groups, contractors and partner organisations as directed.

General Responsibilities

Work effectively as part of a small team whilst exercising initiative and working independently when required.
Attend evening and occasional weekend meetings and events as required.
Undertake training and professional development relevant to the role.
Comply with health and safety requirements and Council policies.
Perform any other duties appropriate to the grade and nature of the post.

Training and Development

East Bedlington Parish Council is committed to supporting the successful candidate through a programme of fully funded training and development. This role offers a clear progression pathway and the opportunity to advance to the position of Assistant Clerk, subject to satisfactory performance, successful completion of training and organisational requirements.

Conditions of Employment

· Permanent appointment.

· Subject to a satisfactory probationary period.

· 23 days paid holiday plus statutory holidays and 2 additional days

· Subject to a satisfactory DBS check.

· Flexibility to attend occasional evening and weekend meetings is required, with time off in lieu by mutual agreement.
