Full job description

Role Overview:

As the Meetings and Events Coordinator, you’ll be the crucial link between the Events team and the Workplace team, owning the administration, relationships and operational logistics that ensure every event setup, setback is delivered seamlessly to elevate the standards.
·Your mission? To bring structure, clarity and ownership to how Workplace deliver event logistics support. This will be by implementing smart processes, finding efficiencies and a focus on attention to detail.

About You:

You’re an intuitive, highly organised self-starter who understands how events, facilities and workplace operations come together behind the scenes. You take ownership, spot what needs to happen before being asked and enjoy building processes that make teams more efficient and standards more consistent.

Key strengths include:

Operational Ownership: You take responsibility for the end-to-end coordination of event logistics, setup, setback and standards.
Events, Facilities or Workplace Experience: You understand how spaces operate and how event requirements translate into practical delivery.
Process Mindset: You know how to implement clear ways of working, improve handovers and create efficiencies.
Attention to Detail: You maintain high standards across room readiness, presentation, stock, equipment and guest touchpoints.
Relationship Builder: You communicate confidently with the Events team, Workplace team, suppliers and onsite stakeholders.
Proactive Problem-Solver: You stay calm under pressure, anticipate risks and find practical solutions quickly.

Responsibilities

Act as the operational bridge between the Events team and Workplace team, ensuring all event logistics are planned, communicated and delivered to a high standard.
Own event administration, including Trello/Monday.com updates which is clear of requirements, setup notes, supplier information, equipment needs and post-event follow-up to enable to Workplace team to physically deliver to this exact standard.
Be the Workplace point of contact, to the events team. Meet with them weekly to plan of the upcoming week and be in a strong position for operational delivery. Also meet with the Workplace team to set clear expectations, provide support and focus.
Build strong working relationships with internal teams, suppliers and onsite partners to support smooth event delivery.
Implement clear processes, checklists and communication rhythms that improve efficiency, consistency and accountability.
Monitor room standards, furniture layouts, stock, equipment and operational readiness before, during and after events.
Identify pressure points, risks and opportunities for improvement, escalating where required and recommending practical solutions.
Support the Workplace Experience Manager with reporting, feedback, lessons learned and continuous improvement across event operations.
