Role Overview
We are seeking a friendly, organised and proactive individual to join our team as a Patient Journey & Clinical Support Coordinator.
This varied role combines patient facing clinical support, front desk administration and patient communication responsibilities. The successful candidate will play a key role in delivering an exceptional patient experience from initial enquiry through to ongoing care.
You will be responsible for conducting nervous system scans, supporting traction based therapies, managing patient communications and assisting with the day to day operations of the clinic. You will work closely with the clinical team to ensure patients receive outstanding care and support throughout their journey with us.

Key Responsibilities
Patient Journey Coordination
- Act as a key point of contact for patients throughout their care journey.
- Contact new enquiries and leads to discuss clinic services and arrange appointments.
- Follow up with prospective patients who have expressed interest in treatment.
- Contact existing patients regarding appointments, reviews and care plan progress.
- Support patient retention initiatives and reactivation campaigns.
- Respond to patient enquiries via phone, email, text message and other communication platforms.
- Deliver exceptional customer service at every stage of the patient journey.
- Build strong relationships with patients and ensure they feel supported and cared for.
Clinical Support
- Conduct nervous system scans and other clinic assessments in line with training and clinic protocols.
- Explain scanning procedures and results processes to patients.
- Assist with patient preparation for assessments and treatments.
- Support clinicians with traction bench set up and patient positioning where required.
- Monitor patients during traction sessions and report any concerns to the clinical team.
- Maintain accurate patient records and scan data within clinic systems.
- Ensure treatment rooms and clinical areas are prepared and maintained to a high standard.
- Adhere to all clinic procedures, health and safety requirements, and patient confidentiality guidelines.
Front Desk & Administration
- Welcome patients to the clinic and provide a professional first impression.
- Manage appointment bookings, cancellations and diary scheduling.
- Process payments and maintain accurate financial records.
- Support daily administrative tasks including filing, reporting and data entry.
- Assist with maintaining clinic systems and patient databases.
- Ensure reception and waiting areas remain clean, organised and welcoming.
- Support the smooth day to day running of the clinic.
Social Media & Marketing Support
- Assist with capturing photos and videos within the clinic for use on social media and marketing materials.
- Support the collection of patient testimonials, reviews and success stories (with appropriate consent).
- Assist with creating occasional content for the clinic's social media channels.
- Help maintain the clinic's online presence by supporting marketing initiatives when required.
- Ensure all content reflects the clinic's brand values and professional standards.

- Experience in reception, administration or patient facing roles.
- Experience in lead conversion, sales or customer relationship management.
- Confidence speaking with patients both in person and over the phone.
- Experience using social media platforms in a professional setting.
- Knowledge of spinal health, rehabilitation or nervous system based healthcare.
